Job Description

YRCI does not enforce a vaccination requirement for our employees.   • The Executive Administrator will assist in managing and coordinating the administrative and secretarial work in support of a Senior Executive to include:
    • Manage calendars and arrange meetings and conferences, to include schedule coordination with internal and external parties, technology setup, meeting material preparation, room setup, and other logistics.
    • Assist with time management to ensure the Director and Deputy Director's meetings end in a timely manner and they have necessary travel time when applicable.
    • Ensure materials are received one business day in advance of all meetings and organized in the appropriate binder and folder.
    • Organize meeting materials for long-term reference in folders and binders by topic or as desired by the Director and Deputy Director.
    • Receive telephone calls and visitors, ascertains nature of calls and visits, and provides direct assistance or refers to appropriate person.
    • Screen incoming mail, sorts and distributes to appropriate individual and office for action.
    • Inform the Director and Deputy Director direct reports and subordinate organizations on needed actions, reports, or projects.
    • Manage timely submission of required information for both short-term and long-term requests on behalf of the Director and Deputy Director.
    • Conduct data entry and management, clerical, and administrative support, performing standard office procedures.
    • Interact with Office of Human Resources (OHR) and Agency personnel on administrative matters.
    • Receive important and sensitive documents from partners across OHR and Agency-wide; maintain a log of current status; review for completeness; route for signature; and ensure deadlines are met.
    • Review outgoing correspondence submitted for executive signature to ensure completeness; learn and work within Agency systems and policies.
    • Prepare and maintain systems, programming and operations documentation, procedures and methods, including user reference manuals Standard Operating Procedures (SOPs).
    • Assist in property, purchasing, and space management as it relates to the Front Office; provide HR supply management.
    • Prepare new and edit existing communications, reports, presentations, and spreadsheets on behalf of the Director and Deputy Director.

Job Requirements

  • Three (3) years of Federal HR experience, at least two (2) of which must be Executive Administrative experience supporting a Senior Manager or Executive; a college degree may be substituted for 1 year of non-specialized experience.
  • Proven administrative skills and experience with HR automated systems.
  • Proficient communication and administrative skills to perform executive support and office management duties.
  • Exceptional verbal and written communication skills.
  • Must be able to independently juggle multiple activities coming from a variety of people, working with leadership to get input in prioritization but keeping everything moving forward without requiring significant direction.
  • Must have strong attention to detail and great flexibility in responding to changing priorities.
  • Must have the highest standards of customer service and be able to maintain a professional working relationship with all members of the office.
  • Skills in Microsoft Word, Outlook, Excel, and PowerPoint must be high.
  • Must possess experience maintaining office supply inventory.
  • Knowledge of Federal HR terminology, operations, procedures, and requirements is preferred.
