As a Level III Regional Referral Center, Woman's is part of a select group of hospitals in the nation who can provide quality care for the smallest and sickest babies. Our unit is designed to focus on intensive care, while encouraging family bonding. Our designation as a Level III Regional Referral Center means we have a neonatologist and anesthesiologist available 24 hours a day, 7 days a week. Our caring team of neonatologists and specially trained nurses monitor the baby's condition at all times by direct observation, and by using the latest specialized equipment and technology available. We also participate in the Vermont Oxford Quality Improvement Collaborative with 500 other NICUs across the country to keep abreast of the latest research and emerging practices that offer the best care for premature and critically ill babies.

Requirements:

* High school diploma or equivalent
* A minimum of 4 years of clerical/administrative work experience

Responsibilities of the NICU Secretary III position include, but are not limited to:

* Answers and handles phone calls and inquiries promptly and courteously. Identifies self and uses proper phone etiquette. Takes messages and forwards calls when necessary. Distributes monthly on-call schedules/work schedules to appropriate departments by stated deadlines.
* Makes travel arrangements for department staff when needed. Manages all check request forms.
* Prepares for meetings when requested (i.e. copies, scheduling rooms and/or staff, prepare packets when assigned by supervisors). Types minutes as needed.
* Collects and distributes all incoming faxes and mail for staff and department management in a timely manner. Picks up and faxes documents when requested.
* Scans documents to appropriate person or computer file location as directed.
* Types letters, forms and miscellaneous items. Enters data into spreadsheets/databases. Copies forms and documents; develops spreadsheets and documents as needed (knowledgeable in Word, Excel and Powerpoint).
* Initiates work orders (maintenance, biomed, IS, etc.) in a timely manner. Monitors and tracks completion. Schedules vendors to address external work orders and orders instruments and equipment when needed.
* Cross-trains for other secretary positions to ensure adequate coverage when office is short staffed.
* Files and organizes paperwork as needed.
* Assists with various projects a requested.
* Ensures NICU classrooms and parent lounges are kept neat.
* Performs other duties assigned by Department management according to policies and procedures and the mission of Woman's Hospital.

Days; Monday-Friday; 8:30am-4:30pm

Pay

$14.18 - $20.03
