Athletic Administrative Assistant Department: Student Affairs Salary: DOE City/State: Tyler, TX Education: Bachelors Degree preferred Type: Full-time Experience: 1 - 3 years Relocation: No Contact Name: Human Resources Contact Email: hr@texascollege.edu Date Posted: May 17, 2024 Description: The Administrative Assistant in Athletics is vital to the functionality of the department by providing effective communication and reporting between the coaches, athletic director, and the community. Proficient and professional conduct will be realized by assisting the athletic director while implementing the mission effectively creating a positive experience for the student athlete. PRIMARY RESPONSIBILITIES: • Administrative support to the Athletic Director by answering phone calls, managing daily/weekly schedule, emails, written correspondence and return calls. • Work with Athletic Director to complete annual reporting on athletics. • Assist the AD working with Admissions to facilitate enrollment of new student-athletes/international student-athletes. • Collect timesheets from Athletic work study students and submit bi-weekly to the Financial Aid Office. • Assist the AD with managing and coordinating the Athletic Department Annual Calendar. • Responsible for producing accurate minutes from staff meetings. • Assist the Athletic Director in reviewing and completing all Athletic Expense reports due the Institution. • Assist the Athletic Director in managing and submitting the Athletic Budget • Provide general support to department staff; assist with processing requests related to team travel, purchase orders and concessions. • Assist Coaches and Teams during Recruitment Visits. • Set up and maintain accurate filing systems for Athletics. • Assist the Athletic Director in developing handbooks and manuals for the Department. • Update department policies and lists; assist with orientation and support for new department staff members. • Maintain department office equipment; anticipate needs and order office supplies. • Create work orders for TC Coaches and help coordinate facilitation of requests with Facilities. • Assist the Athletic Director and each Head Coach with maintaining the Athletics website • Attend athletic special events as defined and agreed upon with the Athletic Director. • Other duties as deemed necessary by the Athletics Director.
