Job Description
PURPOSE OF POSITION:
Under the administrative supervision of the Deputy Director of Ambulatory Care, responsible for the daily operations, planning, development and evaluation of the Paul Paroski Clinic and support programs related to HIV+ patients.
AREAS OF RESPONSIBILITIES:
Paul Paroski Clinic (HIV+ patients, LGBTQ+ patients) and support of Ryan White grant operations.
SUMMARYOF DUTIES AND RESPONSIBILITIES:
- Responsible for administrative oversight of the Paul Paroski Clinic (including clerical staff)
- Support the Ryan White Grant operations with scheduling, coverage, and any other operational functions as needed.
- Analyze functions and make recommendations for changes in work assignments and work flow
- Work with patient care team (providers, nursing, support staff) to ensure all patients are seen according to standard policies and procedures.
- Work closely with Amb Care Administration, Nursing and Chiefs of Services in assessing the needs of the practices and make changes or recommendations for changes
- Complete performance appraisals and participate in development of performance appraisals on all clerical staff
- Responsible for the staff supervision, evaluation and development.
- Monitors assignments, productivity and performance of staff.
- Coordinate data collection for processing of weekly, monthly and annual reports
- Analyze data and prepare reports (practice operations, referrals, e-consult, open visits, etc.)
- Implement and monitor controls to insure timely closing of visits, validity of statistics, timely data entry and timely submission of reports
- Assign projects based on workflow priorities and availability of staff
- Recommend changes in workflow to enhance workflow, data collection and entry
- Approve and schedule requests for time off to insure adequate staffing
- Initiate disciplinary action when needed
- Plan, develop and coordinate training programs for clerical staff as needed
- Responsible for ordering supplies for practices.
- Addressing patients' complaints to ensure patient satisfaction
- Represent Ambulatory Care at internal or external meetings when requested
- Insure compliance with Woodhull Medical Center Policies & Procedures and Joint Commission standards.
- Review Denial Reports for accuracy and take corrective measures to reduce denials and for purpose of ensuring staff is complying with Check 12 method of registration.
- Assist in preparing policies and provide recommendations, as needed.
- Work with Template Manager to ensure accuracy of new templates, blockings and changes
- Assist in preparing department budgets
- Work Closely with Central Office as a HIV SNP Champion.
- Lead operations meetings, staff trainings, and other coordination of resources and logistics for department needs.
- Oversee all monitoring, reporting, and implementation of departmental initiatives to improve revenue, volume, quality, and access to care.
- Other duties as assigned by the Deputy Director.
Minimum Qualifications
- A bachelor's degree from an accredited college or university in Business Administration, Social Sciences, Management, Health Care Administration or related discipline; and,
- Six (6) years of full-time paid experience of program development in a hospital or health care facility in meeting community health needs, health care planning, financial planning, operations and analysis and implementation in an administrative, consultative, managerial or executive capacity; or,
- A master's degree from an accredited college or university and five (5) years of full-time paid experience at the level indicated in (2) above.
- Demonstrated skills in written and medical communications; or,
- A satisfactory equivalent of education, training and experience.
