PRIMARY PURPOSE:

The Administrative Assistant to the President and Office Coordinator plays a vital role in providing high-level administrative support to the President and ensuring smooth daily operations within the office. This position requires a proactive, bilingual (English and Spanish) individual who can communicate effectively with both internal and external stakeholders, including Spanish-speaking subcontractors, while assisting with various administrative and office coordination tasks.

DUTIES & RESPONSIBILITIES
  • Provide direct administrative support to the President, including scheduling appointments, organizing documents, and preparing meeting materials.
  • Coordinate and arrange travel, accommodation, and detailed itineraries as needed.
  • Manage incoming and outgoing correspondence, including checking and organizing mail.
  • Organize and maintain office supplies, keeping inventory stocked and within budget.
  • Ensure the office space is well-organized and conducive to a productive work environment. Communicate with cleaning staff.
  • Maintain and update the conference room calendar to avoid scheduling conflicts and ensure efficient meeting planning.
  • Assist with onboarding Hispanic employees, including conducting orientations and ensuring clear communication of company policies and procedures.
  • Support the HR team.
  • Act as a communication liaison with Spanish-speaking employees and subcontractors to facilitate smooth operations and ensure clarity on project requirements.
  • Provide support in creating and updating marketing materials, including presentations, social media content, and other promotional items as required.
  • Assist in coordinating marketing campaigns and tracking project timelines.

QUALIFICATIONS
  • Fluent in English and Spanish, with excellent written and verbal communication skills in both languages.
  • High school diploma or equivalent; Associate degree or higher in business administration or a related field preferred.
  • 2+ years of experience in an administrative, office management, or executive assistant role, ideally within the construction or masonry industry.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with HR processes and concepts is a plus.
  • Strong organizational skills with attention to detail.
  • Excellent interpersonal and communication abilities, with a customer service mindset.
  • Ability to multitask and prioritize tasks efficiently.
  • Proactive problem-solver with a high level of professionalism and confidentiality.
  • Comfortable working independently and within a team-oriented environment.
