Education: Accredited Bachelors Degree in Accounting.
Basic Skills: Ability to work independently and have sharp analytical skills. Knowledge of general accounting, budgeting, payroll and computer based accounting systems. Ability to effectively prioritize and meet multiple deadlines. Strong attention to detail required.
Transportation: Must have access to reliable transportation.
Work Experience: Two to three years of accounting experience, preferably in a non-profit setting. Experience should include knowledge of financial reporting; or any equivalent combination of education and work experience that provides the necessary knowledge, skills and abilities for the position may be considered at the discretion of the Chief Executive Officer and Chief Financial Officer.
Certification/Licenses: Valid Michigan Drivers License.
Training: As needed.
Problem Solving, Decision Making and Interpersonal Skills: Ability to work well with others. High level of problem solving and decision making skills essential. Promote teamwork and participate as a team member with other agency staff.
Physical and Mental Capabilities: Must be conscientious and alert in a busy and often hectic atmosphere. Must be able to work and concentrate, despite interruptions. Must be able to sit at desk for extended periods of time.
Essential Job Functions:
Reconciles General and Payroll bank accounts on a monthly basis. Ensures cash balances agree with General Ledger and prepares adjustments as needed. Reconciles subsidiary accounts such as the Head Start Policy Council account, and other small accounts. Enters VOID checks on a monthly basis. Responsible for sequential order of check numbers, cash receipts, etc.
Responsible for timely and accurate billing to various funding sources, both Federal and Non-Federal. Includes reviewing new and existing contracts for reporting requirements, reporting forms and due dates.
Reconciles Accounts Receivable and Revenue by Fund at the end of each month. Prepares work papers indicating outstanding amounts due.
Prepares monthly and quarterly journal entries (copier costs, telephone, postage, vacation accrual, etc.) and others as assigned by the Financial Grants Managers. Keeps log of recurring journal entries and ensures all entries are accounted for at the end of each month.
Assist Financial Grant Managers with fiscal year end closing, including writing up work papers for various Federal and Non-Federal Grants.
Maintains the Vendor Database by entering new vendors and editing vendor information. Collects IRS Form W-9s from vendors. Prepares and sends Tax Exempt forms to vendors.
Receives and reviews Non-Federal in-kind as required by grantors, following procedures in Financial Policies & Procedures manual.
Enters budgets and adjusting journal entries in accounting software as assigned by the Financial Grants Managers or CFO.
Prepares miscellaneous invoices to vendors as assigned by the Financial Grant Managers.
Serves as backup to the Accounts Payable function.
Performs all other job-related duties as assigned by the Financial Grants Managers or CFO.
Other Hiring Contingencies: Pass a criminal background check after hiring offer; may be required to pass an agency physical and TB test.
