Position Overview: 

We are seeking a detail-oriented and personable Medical Receptionist to manage our front desk operations and ensure a seamless experience for our clients. The ideal candidate will have experience in appointment setting, client communication, and sales within a healthcare or wellness environment. You will be the first point of contact for our clients, playing a crucial role in ensuring their satisfaction and contributing to the growth of our practice.

Key Responsibilities:

Clinic Operations:
  • Manage front desk duties including greeting clients, answering and directing phone calls, and handling inquiries.
  • Schedule and confirm client appointments, ensuring efficient use of practitioner time and clinic resources.
  • Handle incoming and outgoing calls, including client inquiries, appointment confirmations, and follow-ups.
  • Manage client intake process, ensuring all necessary consent forms and documentation are completed.
  • Process invoicing, follow up on payments, and manage billing inquiries.
  • Send refill reminders and follow up with clients as needed.
  • Maintain an organized and professional reception area.
  • Assist with day-to-day clinic operations and administrative tasks as needed.
Client Communication and Satisfaction:
  • Provide exceptional customer service, ensuring that clients feel welcomed, valued, and cared for.
  • Address client concerns and resolve issues promptly and professionally.
  • Follow up with clients post-appointment to gather feedback and ensure satisfaction.
  • Educate clients on available services and wellness packages.
  • Maintain accurate client records and ensure all interactions are documented in our system.
Leads Follow-up and Sales:
  • Follow up on inbound leads and convert them into appointments.
  • Engage with new and existing clients to offer additional services, upsells, and cross-sells.
  • Assist in developing and executing sales strategies to increase appointment bookings and revenue.
  • Help in tracking and reporting on lead conversion rates and client retention.
  • Collaborate with the marketing team to support promotional campaigns and special offers.
Qualifications:
  • High school diploma or equivalent; additional education or certification in healthcare administration is a plus.
  • 2+ years of experience as a medical receptionist or in a similar role within a healthcare or wellness setting.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent verbal and written communication skills.
  • Proficiency in using scheduling and client management software.
  • Sales experience, particularly in appointment setting and client engagement, is highly preferred.
  • Ability to work independently and as part of a team.
