We are currently seeking an outgoing, team oriented A/P clerk.
 
Position Summary:The Accounts Payable Clerk is responsible for collecting and entering all incoming invoices into A/P software, maintaining vendor files, reconciling credit accounts and other similar duties. Supports ongoing business needs as they arise including but not limited to administrative support for executives, project managers and other employees or project needs. This position also serves as a point of contact for incoming phone calls, office visitors and deliveries. Occasional out of office errands such as pick up or delivery of items, equipment, or supplies.  Accounts Payable:
  • Processes All Incoming Invoices – Scans, Distributes to PM’s, Tracks
  • Enters Invoices into Spectrum
  • Receives, Logs and Files Vendor/Subcontractor W9’s and COI’s
  • Monitors Vendor/Subcontractors Insurance for Renewals
  • Maintains Physical and Digital Vendor Files – W9, Insurance, Invoices
  • Distributes Vendor Payments
  • Matches Vendor Invoices to Check Copies – Physically Files Them
  • Monitors AP Email 
  • Handles Comdata Statement Reconciliation, Entry and Payment Bi-Weekly
  • Distributes and Reconciles Banner Credit Card Statements
  • Processes Reimbursements
  • Fills out Credit Applications 
 Payroll Support:
  • Enters New Hires into Spectrum
  • Runs New Hires Through I-9 Verification System
  • Assists in making payroll corrections
  • Enters Payroll Invoices into Spectrum
  • Assists in Verifying Field Employees Time
  • Assists in Various Payroll Functions as Needed 
 Other:
  • Keeps Copier and Mail Station Stocked
  • Answers and Routes Telephone Calls
  • Distributes the Mail
  • Puts Recycling at the Curb
  • Other duties as assigned.
 
General Support:
Tasks consistent with general support of an office environment including but not limited to: answering telephones, taking messages, receiving/sending mail, answering the door, opening the gate for deliveries.
  • General support to other employees and executives such as research, compiling data, entering data, proofreading, preparing bids and purchasing.
  • Occasional out of office errands and tasks such as retrieving supplies, delivering equipment or supplies, running bids or other assigned tasks. A company vehicle will be provided for these tasks. 
  • Other duties as assigned.  

Required Education, Knowledge, Skills and Training:
  • Requires basic knowledge of accounting principles and processes.
  • Requires 2 years’ experience in office operations. 
  • Solid knowledge and experience working with Outlook, Word, Excel and PowerPoint.
  • Requires a team player with a strong drive to create a positive work culture and environment. Ability to work effectively with diverse communities.
  • Ability to manage multiple priorities.  Excellent organizational skills and attention to detail.
  • Requires good judgment and the ability to positively influence team decision making.  
  • Requires effective oral and written communication skills. Ability to effectively present information in formal and informal settings. 
  • Ability to act with integrity, professionalism, and confidentiality.
  • Requires valid driver’s license and ability to drive a full-size pickup.

Physical Requirements and Job Conditions:
  • Position requires the ability to sit, stand, walk, lift, twist, kneel for periods of time. Ability to work on a computer and the ability to reach and retrieve information and documents.
  • Requires regular and reliable attendance to successfully meet job responsibilities and performance expectations.
  • Requires the ability to lift 25 lbs.
  • Must be able to effectively communicate, read and write in English
