Title: Lease Administrator/ Accounting ClerkLocation: Bryn Mawr, PA

We are seeking an experienced commercial property lease admin professional to coordinate our in-house corporate real estate function. The selected candidate will help manage the company’s leased and owned office space locations. The candidate will work closely with Ownership, Site Managers, Corporate Departments (Finance, HR, Legal), Vendors and Landlords to coordinate, schedule, and oversee the necessary tasks to meet the company’s space requirements.

Responsibilities include:
  • Lease administration.
  • Receive, review, and resolve space-related complaints and building maintenance requests.
  • Lease review and validate rental obligations and payment processing, tracking lease renewal options and all critical dates, confirming lease responsibility for repairs and maintenance.
  • Source vendors and establish contracts as needed.
  • Contract negotiation and oversight of vendors.
  • Manage building security access systems.
  • Financial accounting includes preparing budgets, variance reports, and operating expense reconciliations.
  • Review and process payments of all lease-related expenses and revise and dispute as necessary.
  • Oversee the ordering of property-related supplies.
  • Secure and track insurance certificate compliance.
  • Initiate new vendor set-up, COIs, contact information, legal notices, etc.
  • Maintain fire, life safety, and emergency procedures.

Qualifications:
  • A minimum of 5 years of commercial property management and/or lease administration experience is preferred.
  • BA/BS degree required. A concentration in business administration or real estate-related field is preferred.
  • Extremely detail-oriented self-starter with the ability to prioritize critical matters.
  • Ability to easily adapt to changes and work in a fast-paced work environment,
  • Experience in all categories listed above in responsibilities.
  • Expert in Microsoft Word, Excel, PowerPoint, or other presentation software, as well as experience with lease administration, security, and BAS software.
