About Loveland: Established in 1962, Loveland Center is a nonprofit that provides vital life skills development programs for children and adults with intellectual and developmental disabilities (I/DD) serving in Manatee, Sarasota and Charlotte Counties.  Through its programming, participants are able to realize their full potential and build the necessary skills to live their lives to the fullest.  Loveland’s office of philanthropy educates and advocates throughout the community to build towards a more equitable and inclusive society for all.
Position Summary:The Special Events Associate (SEA) will support the planning, marketing, coordination, and execution of fundraising events, community outreach initiative, programmatic events and other special events in Sarasota, Charlotte and Manatee Counties for Loveland Center.  Loveland Center is a nonprofit organization that supports individuals with intellectual and developmental disabilities.  This role is vital in ensuring the success of events that generate revenue and awareness for our mission.   The SEA will work with the Office of Philanthropy to ensure the successful execution of all major, minor and third-party events.  
The qualified candidate must be highly organized and detail-oriented with excellent communication, project and time management skills.  The SEA must have a proven ability to meet tight deadlines and communicate effectively with all levels of staff, management and volunteers, as well as quickly and productively multi-task.  This position requires tremendous accuracy, excellent attention to detail, solid follow-up skills, and the ability to effectively prioritize and execute multiple projects.  
KEY RESPONSIBILITIES:
  • Event Planning & Coordination:
    • Assist in the development and implementation of  Loveland’s major, minor, third-party and community engagement event plans, timelines and logistics.
    • Coordinate with vendors, volunteers, and staff to ensure event needs are met.
    • Manage event registrations, guest lists, and seating arrangements.
    • Manage event auction items and software.
    • Manage event logistics including materials, supplies, marketing and publicity needs, and all aspects of the event.
    • Work with the Office of Philanthropy to recruit and coordinate volunteers as needed to assist with pre, day-of, and post-event logistics.
  • Fundraising Support:
    • Support fundraising efforts through event sponsorships, in-kind donations, ticket sales/attendees and donations as outlined in the projected event budget.
    • Assist in the creation of event-related fundraising materials, including brochures, invitations and social media content.
  • Track event income and expenses to ensure budgetary compliance, including minimum goals for sponsorship and event attendance along with other sources of revenue and expenses.
  • Assist Philanthropy Coordinator to identify, cultivate, and convert event participants to annual donors.
  • Communicate the Loveland mission at community-based events and speaking engagements that will raise awareness for Loveland Center and individuals with I/DD.
  • Network and engage with community businesses, individuals, and nonprofits to grow the Loveland brand in neighboring communities.

  • On-Site Event Management
    • Provide on-site management during events, ensuring smooth operations and addressing any issues that arise.
    • Coordinate with event volunteers to ensure all roles and responsibilities are completed.
    • Event Expectations:
  • Major: Golf Tournament (for North Port); BBQ Fundraising Dinner (for Venice), 5K Race (or other event in Port Charlotte), and others as assigned;
  • Minor: Donor Appreciation Events, Volunteer Appreciation Events, Ribbon Cuttings, Open Houses, Program events (i.e. dances, seasonal activities), Networking Tables in the community (i.e. Community events) and others as assigned; 
  • Third-Party: Network to complete a minimum of 8 third-party events within Loveland’s multi-county service territory.
  • Post-Event Follow-Up
    • Assist in  post-event evaluations, including gathering feedback and analyzing outcomes.
    • Help in preparing reports on event success, including financial results and participant feedback.
    • Facilitate effective flow of event and ensure the safety and satisfaction of all attendees;
    • Prepare monthly reports to Philanthropy Coordinator on events status including sponsorship, attendance, in-kind gifts, and other pertinent data;
  • Administrative Support
    • Maintain event files, databases and records, ensuring accurate and up-to-date information.
    • Work with Philanthropy Coordinator to coordinate communication of data for entry to DonorPerfect and other software, preparation of acknowledgements and recording of stewardship activities;
    • Assist with budgeting and expense tracking for events.
  • Communication
    • Serve as a point of contact for event inquiries, providing information and support to participants and stakeholders.
    • Work with the Philanthropy team to promote events through various channels, including social media, newsletters and press releases.
    • Create marketing materials, social media posts &  newsletters for the organization.
  • Other duties as assigned by the CEO or Philanthropy Coordinator

Qualifications:
  • Bachelor’s degree in event management, communications or a related field (preferred, but not required).
  • 1-2 years experience in event planning, fundraising, or a related role, preferably in the non-profit sector.
  • Strong organizational and time management skills, with the ability to manage multiple tasks and deadlines.
  • Excellent communication and interpersonal skills, with a customer-focused attitude. 
  • Ability to work both independently and as part of a team.
  • Proficiency in Microsoft Suite and Google Suite; experience with event management (DonorPerfect preferred) and marketing software is a plus.
  • Ability to work flexible hours, including weekends and weekends, as required for events.
  • Must have a driver’s license and access to a reliable motor vehicle.
Physical Requirements
  • Ability to lift and carry up to 25 lbs and occasionally lift up to 40 lbs.
  • Ability to stand and walk for extended periods during events
