Trucking Operations/Dispatch Coordinator

We are seeking an experienced Operations/Dispatch Coordinator to join our trucking company. The ideal candidate will be responsible for managing daily fleet operations, ensuring regulatory compliance, and maintaining excellent customer service while optimizing operational efficiency.

Key Responsibilities:

Fleet Management & Dispatch:
  • Coordinate and dispatch drivers efficiently based on load requirements, HOS regulations, and delivery schedules.
  • Monitor and review drivers' electronic logging devices (ELDs) to ensure compliance with DOT regulations.
  • Schedule and coordinate pickup and delivery appointments with customers and facilities.
  • Track driver location and status in real-time using fleet management software.
  • Manage route planning and optimization to maximize efficiency.
Compliance & Safety:
  • Review and maintain driver qualification files, ensuring all required documentation is current.
  • Compile and submit IFTA reports and other regulatory compliance documentation.
  • Monitor and track driver CSA scores and violations.
  • Ensure compliance with DOT regulations, including hours of service requirements.
  • Maintain accurate records of all safety-related incidents and violations.
Equipment & Maintenance:
  • Schedule and coordinate preventive maintenance for trucks and trailers.
  • Track equipment repairs and maintenance history.
  • Manage parts inventory and coordinate with vendors.
  • Monitor equipment inspection reports and address issues promptly.
  • Maintain accurate records of equipment maintenance and repairs.
Brokerage Operations:
  • Support brokerage operations by booking drivers onto loads.
  • Vet and onboard new carriers according to company standards.
  • Perform track and trace activities to ensure on-time delivery.
  • Negotiate rates with carriers and customers.
  • Maintain carrier compliance documentation.
Business Operations & Customer Service:
  • Build and maintain strong relationships with customers, carriers, and drivers.
  • Review and improve business processes to increase operational efficiency.
  • Generate and analyze operational reports to identify areas for improvement.
  • Handle customer inquiries and resolve issues promptly.
  • Coordinate with other departments to ensure smooth operations.
  • Maintain accurate records of all transactions and communications.
  • Monitor key performance indicators (KPIs) and prepare regular reports.
Additional Responsibilities:
  • Assist with load planning and optimization.
  • Monitor weather conditions and road closures to adjust routes accordingly.
  • Coordinate with fuel vendors to ensure cost-effective fueling.
  • Handle driver complaints and issues professionally.
  • Assist with driver recruitment and orientation as needed.
  • Participate in continuous improvement initiatives.

Qualifications:

Required:
  • 2+ years experience in trucking operations or dispatch.
  • Proficiency with Transportation Management Systems (TMS) and ELD systems.
  • Strong knowledge of DOT regulations and hours of service rules.
  • Excellent communication and problem-solving skills.
  • Ability to work in a fast-paced environment and handle multiple priorities.
  • Strong computer skills, including Microsoft Office Suite.
Preferred:
  • Experience with load planning and route optimization software.
  • Knowledge of IFTA reporting requirements.
  • Familiarity with freight brokerage operations.
  • Background in transportation or logistics.
  • Experience with safety and compliance programs.
