Key Responsibilities (including but not limited to):
- Client Reception and Front Office Support: Greet clients with warmth and professionalism, answer calls, schedule appointments, and manage front office communications.
- Liaison with Office Manager: Serve as a bridge between the office manager and other team members to ensure smooth daily operations, including tracking office supplies and handling administrative tasks.
- Assist with Policy and Procedure Development: Collaborate with the office manager and leadership team to develop, refine, and implement office policies and procedures to ensure consistency and efficiency across operations.
- Jump in When Needed: Be flexible and able to step into various roles as required, whether assisting with client inquiries, supporting the legal team, or covering for colleagues during busy periods or absences.
- Client Assistance: Provide a personalized experience for clients, ensuring they feel comfortable and well taken care of, answering questions, and managing client check-ins.
- Document Proofreading and Review: Ensure the accuracy of documents and notify the legal team of any corrections or issues that arise.
- Document Organization: Organize legal documents into client binders with attention to detail, following specific systems and procedures.
- Document Preparation: Print, tab, and prepare legal documents for client meetings and binders.
- Scanning & Digital Filing: Scan hard-copy documents and manage digital filing, categorizing them per firm protocols.
- Cloud File Management: Maintain and organize digital documents in the cloud, following systemized processes.
- Notarization & Witnessing: Assist in notarizing and witnessing legal documents during client signings (notary license required or willingness to obtain).
- Deed Recording: Handle deed recording, track filings, and manage necessary corrections.
- Form & Template Management: Work with fillable forms and templates, preparing documents for client use.
- File Audits: Ensure legal documents are complete with correct signatures and notarizations, addressing any discrepancies.
Required Skills and Qualifications:
- Exceptional organizational skills and attention to detail.
- Proficiency in Microsoft Word, Excel, Adobe, and experience handling PDFs.
- Excellent computer and technology skills with the ability to manage digital files and cloud-based systems.
- Friendly, professional demeanor with strong client service skills.
- Ability to collaborate in developing and maintaining office policies and procedures.
- Notary license (or willingness to become a notary).
- High level of integrity, respecting client confidentiality at all times.
- Strong typing, word processing, and data entry skills.
- Excellent verbal communication and interpersonal skills for client and team interactions.
- Flexibility and initiative to jump into various roles as needed.
- Knowledge of Wealth Counsel is a plus but not required.
- Full-Time Position (40 hours per week).
- Must be available for two evening shifts per month (1-2 hours each).
- Starting rate: $22.60 - $24.50 with potential for a pay increase based on key performance indicators (KPIs).
