 Organizational Relationship or Line of Authority: Directly responsible to the Director of Human Resources and/or designee. Summary:The Human Resource Specialist is responsible for performing a wide variety of administrative and personnel functions with the HR department in a highly confidential and professional manner. The position assists the HR Director and department in accomplishing the goals, objectives and functions of the office. The essential functions or duties listed below are intended only as a guide to the various types of work that may be performed. The omission of specific settlement of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.  Statement of Duties:                            
  • Greets the public, receives visitors and follows proper protocol in allowing access to the department
  • Answers telephone (HR Specialist and HR general mailbox) and retrieves messages within a reasonable timeframe
  • Open, sort and route incoming mail and prepare outgoing mail
  • Assist in data entry and maintaining the database in SchoolBrains, BudgetSense and PowerSchool (Applicant Tracking and Records) as it relates to Human Resources
  • Post anticipated openings on PowerSchool – Applicant Tracking
  • Manages the onboarding process for new hires including recruiting, interviewing, job offers, background checks, fingerprinting results, and new hire paperwork
  • Supports and conducts the weekly new hire orientations
  • Responsible for all aspects of attendance which includes but is not limited to rollover, personal and sick days, vacation requests, vacation rollover requests, work calendar, perfect attendance, attendance accruals
  • Responsible for the rollover of SchoolBrains at the beginning of the school year which includes positions and verification of data
  • Coordinate and maintain substitute and long-term substitute staffing database
  • Responsible for maintaining and processing reasonable assurance letters for substitutes and all other staff members
  • Responsible for collecting and recording staff evaluations
  • Responsible for distributing, processing and recording all staff certifications including DESE mandatory packet and HPS policies in compliance with the law
  • Responsible for distributing, processing and recording the Massachusetts Summary of Conflict of Interest Law on an annual basis and the Conflict of Interest Training on a bi-annually basis in compliance with the law
  • Hold proper certification from iCORI and distribute, process and record CORI’s 
  • Hold proper certification from SAFIS and maintain fingerprinting documents including suitability letters
  • Work with City HR to process unemployment inquiries
  • Draft, process and file employee letters: hiring, stipends, transfers, resignations, retirement
  • Maintain employee files in HR and archives
  • Maintaining the longevity report 
  • Develop and maintain new hire packets
  • Manage employment verifications (written/verbal) including Loan Forgiveness
  • Coordinate summer staffing for all summer extended-year programs
  • Point person for practicums, internships and fellows including processing documentation and onboarding
  • Be familiar with the duties of other team members (Benefits Specialist, HR Coordinator and Intake Coordinator) and assist them with projects in peak flow time and/or when requested
  • Attend and participate in all office meetings or events (including orientation and job fairs) as assigned by the Director of Human Resources
  • Performs all other general duties as indicated by the Director of Human Resources and/or designee
 Qualifications:
  • College Degree in Human Resources or a related field of study or at least two years experience in a Human Resources role preferred.
  • Extensive knowledge of all aspects of Human Resources or a school setting is preferred.
  • Excellent interpersonal, verbal and written skills.
  • Comfortable with public speaking.
  • Strong effective time management planning capabilities.
  • Ability to multi-task and exercise good judgement.
  • Skills to operate standard office equipment including the use of computer applications and various business machines.
  • Basic knowledge of SchoolBrains, Budgetsense, and PowerSchool – Applicant Tracking and Records.
  • Demonstrated proficiency in Google Docs and Microsoft Office.
  • Ability to work confidentially.
