Project Business Administrator

POSITION SUMMARY:

The Project Business Administrator performs day-to-day administrative activities including: record keeping, billing preparations, physical distribution and logistics within Outside the Box. A Project Business Administrator has to obtain clearance for federal projects to include; a background check and drug screening. Our ideal candidate is a self-motivated, highly responsible person with outstanding organizational and communication skills, who can grow with the company.

Position Qualifications:
  • Experience in construction administration is preferred but not required.
  • Ability to work well with others in a team environment.
  • Excellent communication skills within organization and customers.
  • Highly organized multitasker who works well in a fast-paced environment.
  • Ability to work in a fast-paced environment.
  • Strong interoffice organizational skills.
  • Computer literate and able to learn new software programs.

Essential Functions:
  • Preparation of bond and certificate of insurance requests.
  • Collecting required documents i.e., COI, W9, and SF1413.
  • Collecting and submitting Certified Payroll.
  • Collecting and ensuring subcontractor payment applications are complete (e.g., SOV, all lien releases, all CPs received, current COIs).
  • Submit progress payment applications, project invoicing and required waivers into RedTeam and on Server.
  • Assist in creating Pre-construction plans.
  • Prepare project packages for pre-bid and awarded projects.
  • Establishing correct contacts for the job. Both for RedTeam and the owner and/or General Contractor.
  • Ensure all jobs are completed and filed away properly on the RedTeam server and physical folders.
  • Respond to questions and requests for information. 
  • Assist with solicitations as needed.
  • Potential Additional Duties (as time allows).

Required Experience and Education:
  • High school education or GED equivalent required.
  • Must have reliable transportation to and from the workplace.

Computer Skills:
  • Microsoft Word, Excel, Outlook, Power Point.
  • RedTeam (Outside the Box employee software platform).
