Unique attributes of this role: This position is contractual with an average monthly commitment of about 96 hours (Average 24 hours a week). To accommodate and support the schedules of the clients, this role requires flexibility in the evenings and weekends depending on the projects the firm is managing. While this role is fully remote, it will require periodic travel in the Cleveland area to attend and facilitate meetings.

How You Will Be Successful:

  • Time Management: Handle multiple tasks and meet deadlines consistently, ensuring urgent matters are addressed promptly while maintaining progress on long-term projects.
  • Attention to Detail: Guarantee the accuracy of reports, documents, and correspondence, enhancing the quality of the CEO's presentations and overall professionalism.
  • Problem-Solving Skills: Anticipate potential issues and proactively find solutions, navigating unexpected challenges to keep operations running smoothly.
  • Adaptability: Handle changing priorities and dynamic environments with ease, adjusting your approach as needed to support the CEO effectively.
  • Confidentiality: Maintain the highest level of discretion in handling sensitive information, building trust and protecting the integrity of the practice's operations and relationships.
  • Technology Proficiency: Leverage office software and tools to streamline administrative processes, enhancing productivity and supporting the CEO's activities efficiently.
  • Relationship Building: Foster a positive and collaborative work environment by building and maintaining relationships with stakeholders, acting as a liaison between the CEO and internal/external partners.
  • Project Coordination: Assist in coordinating and managing projects, contributing to their successful completion by tracking progress, meeting deadlines, and achieving project goals.

Key Responsibilities:
  • Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and prepare materials for meetings, presentations, and conferences.
  • Conduct research and compile data to prepare reports and documents.
  • Handle correspondence, including emails, letters, and other communications.
  • Maintain office systems, including filing, databases, and document management.
  • Assist in the preparation of financial reports, budgets, and expense reimbursements.
  • Act as the point of contact between the CEO, employees, clients, and external partners.
  • Handle confidential information with discretion and professionalism.
  • Provide administrative support for special projects and initiatives as assigned.
  • Prioritize and manage multiple tasks simultaneously in a fast-paced environment.

What We're Looking For:
  • Proven experience as an executive assistant or similar administrative role.
  • Excellent organizational and time-management skills.
  • Strong verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite and other office management tools.
  • Ability to work independently with minimal supervision.
  • Bachelor's degree preferred.
