Position Title: Sales Coordinator – B2B Media & Event Sales
Company Overview:
We are a leading media company specializing in advertising and sponsorship sales for membership-based media and events of Guilds,Unions and Societies within the film and television industry. Our busiest period, running from November to March, aligns with the Academy Awards Season. This is a smaller company with a family atmosphere looking for someone open to participate in being a team player and help out wherever you can.
Position Summary:
The Sales Coordinator will play a key role in supporting the sales team, providing administrative assistance, sales research, and client follow up. The ideal candidate will have strong organizational skills, attention to detail, completing projects by deadlines and have a proactive approach to supporting sales and administrative functions. Some work may occur outside of normal business hours during peak periods, and at IngleDodd Media produced events.
Key Responsibilities:
Sales Team Support:
- Coordinate scheduling, meetings, and follow-up actions for the sales team.
- Prepare and distribute sales materials, presentations, and proposals.
- Assist in maintaining client relationships, including preparing client deliverables and managing client communications.
Administrative Support:
- Meeting note taking, summarization, distribution of action items with deadlines and monitoring the completion of those action items.
- Updating, Organizing and managing sales drive, sales assets, and client files.
- Support account managers by handling correspondence, IO’s, and follow-up on client accounts.
- Support Accounting team with contract overflow needs.
- Update and manage CRM software, ensuring data accuracy and timely entry of sales activities and client information.
Media Sales Research:
- Conduct market research on potential clients and advertisers relevant to Guilds and Societies in the film industry.
- Identify and compile data on advertising trends, competitor activities, and target demographic insights.
- Assist in analyzing research to inform sales strategies and optimize opportunities for sponsorship and advertising revenue.
Qualifications:
- Previous experience as a sales coordinator or administrative support role, preferably in media, advertising, or a related industry.
- Extensive knowledge of the film, television and/or music divisions.
- Strong proficiency with Magazine Manager (Mirabel) software, Google Suite, MS Office Suite (especially Excel and PowerPoint), and scheduling tools.
- Strong Experience with Project Management tools, such as Monday, Jira or Asana
- Strong proficiency in Sales Research including but not limited to ZoomInfo, LinkedIn, IMDBpro.
- Fast Learner, flexibility to pivot priorities, and working with limited supervision and direction, will be necessary.
- Excellent written and verbal communication skills, as well as emotional intelligence within a working environment.
- Proven ability to manage multiple priorities and meet deadlines.
- Detail-oriented with a high degree of accuracy in work.
- Strong desire to take the initiative during down time.
Preferred Qualifications:
- Familiarity with the film and entertainment industry or previous experience working with Guilds and Societies.
- Experience dealing with Labor unions and guilds.
- Research experience with an ability to analyze data and present insights.
- Proven ability to meet and exceed deadline targets.
- Ability to build and maintain professional relationships with coworkers and clients.
- Highly motivated and self-driven with a passion for sales.
