Job Description: We are seeking a dedicated and detail-oriented Client Services Coordinator/Receptionist to join our team. In this role, you will be a point of contact for clients visiting our office in person, ensuring they receive a warm welcome and exceptional service. You will manage various administrative tasks to support our legal team and contribute to the smooth operation of our office.


Key Responsibilities:

  • Serve as a point of contact for in-person visits to the office.
  • Handle client intake, including welcoming new clients, providing contracts, receiving initial payments, and giving welcome kits.
  • Manage document intake by scanning and saving documents, and notifying virtual team members of new documents.
  • Take fingerprints for FBI fingerprint checks and OBIM FOIA requests.
  • Gather and print PDF packets for mailing, as directed by paralegals and virtual team members.
  • File notices in the appropriate files.
  • Receive, scan, and notify the correspondence specialist of mail and documents received via USPS.
  • Schedule appointments for attorneys and manage the office calendar.
  • Handle initial inquiries and direct clients to the appropriate resources or staff members.

Qualifications:

  • Some college coursework completed, or an associate’s or bachelor’s degree in a related field is preferred.
  • Bilingual in Spanish and English is required.
  • Experience working with or connection to immigrants from Central America or Mexico is strongly preferred.
  • Previous experience in a client-facing role, preferably in a legal or professional services environment.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Proficiency with office equipment and software, including scanners and Microsoft Office Suite.
  • Ability to multitask and manage time effectively in a fast-paced environment.
