This position provides vital administrative support to the Senior Research Administrator and President/CEO, with a primary focus on managing research sample receiving, tracking, and data entry. The role also involves overseeing the automation of clinical test results, troubleshooting issues, and working closely with other departments to optimize clinical test result turnaround times.

Responsibilities include but are not limited to:

  • Receive research samples using LabAssist software, prepare them for processing, and ensure proper storage, maintaining communication with relevant parties and conducting follow-ups as necessary.
  • Enter research data, including test results and evaluation numbers, ensuring accuracy and completeness.
  • Monitor clinical test result automation, identifying and addressing obstacles to streamline processes, complete necessary data entries, and proactively troubleshoot to minimize clinical test result turnaround time.
  • Provide administrative support to the Senior Research Administrator and President/CEO.
  • Order scientific articles, journals, and books as needed for research activities.
  • Maintain and update research article entries, ensuring accuracy and accessibility of information.
  • Coordinate and schedule webinars and other training sessions as requested.
  • Perform general office tasks such as filing, copying, and managing correspondences.

Required education and experience:

  • Minimum two years prior administrative support
  • High school diploma or equivalent

Competencies:

  • Proficiency in Microsoft Office applications.
  • Excellent communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Strong multitasking abilities, capable of managing tasks effectively even with frequent interruptions.
  • Demonstrated ability to prioritize tasks and work independently when necessary.
  • Good attention to detail, ensuring accuracy and thoroughness in all tasks.

Preferred skills & experience:

  • Bachelor's degree in life science or related field
  • Knowledge of research processes and terminology including familiarity with ordering scientific articles and journals.
  • Familiarity with lab operations and experience with sample handling and data entry would be beneficial.
  • Experience with administrative tasks supporting senior executives, including scheduling, correspondence management, and maintaining confidentiality.
  • Proficiency in using software systems for sample tracking and data entry, such as LabAssist or similar laboratory management software.
