Chief Financial Officer

The Institute for Bird Populations (IBP; www.birdpop.org) seeks a Chief Financial Officer to work from our headquarters in Petaluma, CA, beginning November 2024. This is a permanent, hourly position with a guarantee of at least 20 hrs/wk, and additional hours likely required at times. IBP is a 501(c)3 non-profit institute focused on the scientific study and conservation of wild birds. We employ around 20 year-round staff members, and each year our staff is augmented by 75 or more seasonal employees and volunteers who collect field data. Staff are distributed across many states.
This role is perfect for a seasoned financial professional looking for a flexible, part-time opportunity to contribute to a growing organization and an important cause.
The Chief Financial Officer is responsible for the oversight of all finance, accounting, and reporting activities, and leads all day-to-day finance operations of a nearly $4 million budget. The Chief Financial Officer oversees the organization’s administrative and operational needs, and as a member of the senior leadership team, contributes to organizational strategies and decision making. Must be a self-starter and enjoy working within a small, entrepreneurial environment that is mission- and results-driven.
The ideal candidate will have a holistic understanding of nonprofit finance. This includes tracking cash flow, financial planning, and analyzing the company's financial strengths and weaknesses to propose corrective actions. The CFO ensures the accuracy of financial reporting and compliance with regulations, plays a critical role in budget management, and provides strategic financial guidance to the organization.
Key Responsibilities:
- Ensure compliance with policies, laws, and regulations, including coordination of annual audit and preparation of IRS Form 990 and multi-state payroll tax reports.
- Oversee Government Grants and Contracts Administration reporting.
- Maintain current knowledge of organizational policies and procedures, government regulations, and accounting standards to ensure compliance.
- Ensure compliance with local, state, and federal financial reporting requirements.
- Oversee internal control policies, procedures and guidelines for activities such as budget administration, cash and credit management, and accounting.
- Implement financial administrative procedures, ensuring Standard Operating Procedures are in place and followed in line with organizational policies, including invoicing, accounts receivable, and accounts payable processes, coding, and reporting.
- Maintain and monitor the organization’s bank account(s), credit cards, insurance policies, and other similar accounts.
- Drive regular budget planning, monitoring, reporting, and forecasting across the organization.
- Collaborate with the Executive Director to develop and oversee the implementation of a strong multi-year financial plan that supports organizational growth.
- Develop and monitor operating budgets for the Executive Director.
- Oversee and manage cash flow planning to ensure the availability of funds as needed.
- Identify and manage business risks and insurance requirements.
- Lead financial planning and analysis, including forecasting, budgeting, and variance analysis.
- Provide supervision and support to the Human Resources Manager.
General Administration/Operations:
- Oversee facilities, IT, and office management. Evaluate and make recommendations as needed regarding office space, equipment, vendors, and staff resources.
- Review organization’s non-health insurance requirements during annual renewal process and as needed. (E.g., General Liability, D&0, and Workers Compensation).
Qualifications:
- Proven experience in a CFO or senior financial management role.
- Ten plus years of related experience, ideally in a nonprofit setting.
- CPA or Master's degree in Accounting.
- Strong knowledge of common accounting practices and financial regulations.
- Exceptional attention to detail and accuracy.
- Excellent communication and interpersonal skills.
- Ability to work independently and manage time effectively.
- Strong analytical and problem-solving skills.
- Ability to interpret complex financial information and provide actionable insights.
- High level of integrity and dependability.
· Demonstrated technology skills, including accounting software, spreadsheets, word processing, databases, and cloud-based tools.
· Experience with selecting and overseeing software installations and managing relationships with software vendors a plus.
