The Executive Support Coordinator will primarily support the Office of the CEO, which includes the COO and Office Administrator. This individual will play a crucial role in providing comprehensive administrative and operational support, ensuring smooth workflow, fostering communication, and driving organizational initiatives. The ideal candidate is a proactive, detail-oriented, and highly organized individual with excellent written and verbal communication skills.


DETAILED RESPONSIBILITIES


Listed below are the major duties and responsibilities of this position:

• Provide administrative support to the CEO, including drafting correspondence, preparing documents, managing emails, scheduling, and coordinating meetings.

• Assist in planning and coordinating both internal and external meetings. Not limited to calendar management, material preparation, summarizing meeting deliverables, and ensuring follow-up on action items post-meeting.

• Foster a collaborative and positive team culture by offering assistance to team members as needed.

• Support various organizational projects and events, ensuring they are on track and deadlines are met.

• Manage contact lists, partner databases, and ensure sponsorship records are updated regularly.


QUALIFICATIONS AND EXPERIENCE

• Minimum one year of experience in an administrative and/or support role for an executive.

• Highly motivated and self-driven individual.

• Leads with the mission in mind and the values of Generation W.

• Demonstrates strong proficiency with technology.

• Strong organizational and time management skills, with the ability to prioritize multiple tasks and projects simultaneously.

• Excellent verbal/written communication skills, and highly effective interpersonal skills.

• Experience coordinating travel and managing complex schedules.

• Will take initiative, and drive team/organizational performance goals, while focusing on innovative solutions and facilitating continued growth.

• Strong business acumen with the ability to monitor, compile, and analyze data to guide decision-making and capitalize on opportunities.

• Ability to remain flexible and work within a collaborative and team-oriented environment.

• Demonstrates proficiency in the use of CRM Systems and Microsoft Office programs including Word, Excel, Outlook, and PowerPoint.
