Janssen & Spaans Engineering (JSE) is looking for a Document Controller to manage the flow of project documents. This will include both electronic records management (ERM) and a manually created record management system. Previous experience in document control, and familiarity within the Civil Engineering industry is preferred.


Job Description:

Record Management:

  • Organize and maintain physical and electronic records, ensuring proper storage and labeling.
  • Create and update templates for project document management where ERM software is not used.
  • Name documents using proper nomenclature for easy retrieval and efficient use.


Data Entry and Tracking (e.g. Design, RFI, SHOP, NDC, etc.):

  • Enter and update data in databases, records management systems, or spreadsheets.
  • Create logs and tracking systems for incoming and outgoing records
  • Generate reports and summaries as needed to ensure a timely turn-around


Communication:

  • Collaborate with clients, departments and personnel to fulfill record-related requests.
  • Assist in providing information, locating records, and answering or directing inquiries.
  • Maintain open communication to facilitate record management.


Quality Control:

  • Conduct routine quality checks on records and databases to ensure accuracy.
  • Rectify any errors, inconsistencies, or missing data.
  • Work to improve record-keeping processes and accuracy.


Desired Skills and Experience:

  • High school diploma or equivalent (associate’s degree or relevant certification is a plus).
  • Proven experience as a records clerk or in a related position.
  • Proficiency in database applications, Microsoft Office, and records management software i.e. InEight, Aconex, ProCore, or similar ERM software programs used in engineering, construction, or architectural firms
  • Excellent attention to detail and organizational skills.
  • Strong data entry and typing abilities.
  • Understanding of records management principles.
  • Ability to work independently and manage time effectively.
  • Effective communication and collaboration skills written and verbal.
  • Working knowledge of office equipment
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Ability to problem-solve, prioritize work and multi-task
