Summary
This position is responsible for assisting client payroll processing and ensuring all employees of our clients are paid accurately and on time. This role involves maintaining payroll records, calculating wages, deductions, bonuses, and other components of compensation, and ensuring compliance with federal, state, and local regulations. The Payroll Specialist also prepares reports and assists with benefits and retirement programs, including medical, dental, vision, life insurance, short-term disability, 401(k) plan.
About the Role
WHAT YOU WILL DO
Payroll Processing
- Process payroll for assigned clients, ensuring timely and accurate payment
- Calculate wages, overtime, bonuses, and deductions
- Handle special payroll circumstances such as terminations, new hires, and leave of absences
Compliance and Record Keeping
- Ensure compliance with federal, state, and local payroll laws and regulations
- Maintain and update employee payroll records
- Downloading and saving all period end reports from software to Rosewood’s files
Reporting and Analysis
- Generate payroll reports for management and finance departments from various payroll software’s (such as Paychex, ADP, Gusto, etc).
- Assist in the preparation of financial statements and budgeting by providing payroll data
- Assist in creating and maintaining payroll spreadsheets
System Management
- Maintain and update payroll systems and software such as Paychex
- Collaborate with system provider to resolve system issues and implement updates or changes
ACCOUNTABILITIES
- Accurate and timely processing of client payroll using accounting and payroll software provided.
- Maintain accurate books and records for clients.
- Ensure confidentiality of client’s records and files when dealing with client staff and 3rd party advisors.
- Report to Payroll Manager on the day to day tasks and deliverables for client activity and workflow/process to improve productivity.
- Provides excellent customer service when interacting with clients, client employees and representatives and internal Rosewood staff
QUALIFICATIONS
Knowledge
- Education: Bachelor’s degree in Accounting, Finance, Human Resources, or a related field.
- Experience: Minimum of 2-3 years of experience in payroll administration or a similar role.
Skills
- Ability to handle confidential information with integrity and professionalism.
- Strong verbal and written communication skills.
- Ability to multi-task and work in a fast-paced environment with tight deadlines.
- Excellent organizational, time management and customer service skills; detail-oriented; team player
- Proficient with Microsoft Word and Excel.
- Strong understanding of payroll processes and regulations.
- Proficiency in payroll software (e.g., ADP, Paychex) and Microsoft Office Suite (Excel, Word).
- Excellent numerical and analytical skills.
- Attention to detail and high level of accuracy.
Preferred Skills
- Experience with multi-state payroll processing
WORKING CONDITIONS
Professional office environment sensitive to work-life balance with the ability to work on a hybrid model. The candidate must be able to commute to the office in Palo Alto on an as needed basis.
The base salary range for this position in Palo Alto, California at the start of employment is expected to be between $80,000 and $85,000 per year. However, base salary offered is based on market location, and may vary further depending on individualized factors for job candidates, such as job-related knowledge, skills, experience, and other objective business considerations. Subject to those same considerations, the total compensation package for this position may also include other elements, including a bonus, in addition to a full range of medical, financial, and/or other benefits. Details of participation in these benefit plans will be provided if an employee receives an offer of employment. If hired, employee will be in an 'at-will position' and the company reserves the right to modify base salary (as well as any other discretionary payment or compensation or benefit program) at any time, including for reasons related to individual performance, company or individual department/team performance, and market factors.
