Sugar23 is seeking a knowledgeable and passionate assistant to support a high level Executive. This role requires a highly organized individual with excellent communication skills and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will have a strong understanding of the entertainment industry, a proactive attitude, and the discretion needed to handle confidential information.


Sugar23 is in an exciting phase of growth and is currently seeking an Assistant Floater to provide cross-departmental support. This position is 100% on site and will be out of our Beverly Hills office. This role will report to the Director, People Operations and Operations Manager.


Position Overview:

The Floating Assistant serves as interim coverage for Assistants, ensuring consistent and seamless support to Manager's and Executives. This role requires exceptional organizational skills, adaptability, and the ability to manage diverse administrative responsibilities while maintaining strict confidentiality. The Floating Assistant may also assist with reception duties and perform ad hoc tasks as needed to support the team.


Key Responsibilities:

  • Interim Support: Provide temporary coverage for Assistants to ensure uninterrupted service for Manager's and Executives.
  • Administrative Duties:Manage heavy phone activity, including screening and directing calls.
  • Coordinate meetings, manage schedules, and update calendars.
  • Prepare and process expense reports with accuracy and timeliness.
  • Draft, review, and produce correspondence and documents as required.
  • Complete special projects and other assigned tasks efficiently.
  • Reception Support: Assist with reception coverage, including greeting visitors, managing incoming calls, and handling inquiries.
  • Ad Hoc Tasks: Take on miscellaneous duties and projects as needed to support the organization.
  • Confidentiality: Safeguard all records and information related to clients, employees, and organizational activities.
  • Relationship Building: Cultivate strong, collaborative relationships with colleagues and foster a positive work environment.


Qualifications:

  • Proven ability to manage multiple tasks with attention to detail and accuracy.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Proficiency in scheduling tools, phone systems, and basic office software.
  • Strong problem-solving skills and adaptability to shifting priorities.
  • 1-2 year of Industry experience strongly preferred
