SUMMARY OF RESPONSIBILITIES
Provide high quality administrative support to the management team, accounting and internal operations, special projects and assignments. Perform a variety of administrative tasks including be responsible of the reception and greet customers.
ESSENTIAL FUNCTIONS
- Responsible for the administration of the cash records, accounts receivable, and accounts payable ledgers. This includes maintain updated journal entries.
- Purchases supplies and promotional materials as necessary.
- Develops and maintains updated inventory databases for supplies and promotional materials used.
- Perform administrative support tasks, such as proofreading and transcribing information.
- Supports the quoting process for potential and actual clients. This includes, contacting the customer, making a need’s assessment and creating/presenting a quote to the customer.
- Assist the management team in the preparation of reports and/or proposals.
- Answer phone and email messages accurately and promptly, using the phone system, and computer.
- Handle back up administrative work for various departments including assisting with special projects as needed.
- Type correspondence, reports and presentations accurately and timely using Microsoft Word, Microsoft Excel, power point among others.
JOB QUALIFICATIONS
- Bachelor’s degree in accounting, office administration or equivalent in education and experience.
- One (1) year of experience in a similar role.
- One (1) year of experience working with journal entries, accounts payable and/or accounts receivable.
- Fully Bilingual (Spanish and English) preferred.
- Excellent written and oral communication skills;
- Ability to perform several tasks concurrently with ease and professionalism.
- Computer literate in Microsoft Office applications such as Word, Excel, and PowerPoint.
