We are seeking a highly organized and detail-oriented individual to join our dynamic team as an Executive Assistant to our senior leadership team. In this key role, you will play a crucial part in supporting the senior leadership team in various administrative and strategic tasks. The Executive Assistant proactively anticipates needs to support a variety of administrative functions in a time-sensitive, accurate, and confidential nature using discretion and professionalism.
Responsibilities:
- Communication: Act as right-hand confidant to the executive team. This includes attending meetings, summarizing and tracking action items, preparing follow-up correspondence, providing reminders, and following items through to completion.
- Problem Solving: Proactively identify and address challenges, offering solutions to enhance workflow efficiency.
- Documentation: Prepare, proofread, and edit documents, presentations, and reports to ensure accuracy and consistency.
- Meeting Coordination: Organize and coordinate meetings, both internal and external, including agenda preparation, meeting minutes and follow-up actions.
- Information Management: Maintain confidentiality and handle sensitive information with discretion, managing files and records in an organized manner.
- Project Support: Assist in various projects and initiatives by providing administrative support, research, and coordination.
Experience:
- Real Estate: Previous experience in real estate administration is highly desirable.
- Project Management: Demonstrated experience in project management, including organizing and overseeing projects from inception to completion.
- Human Resources: Familiarity with human resources processes and procedures, including personnel records, recruitment support, and HR-related documentation.
Qualifications:
- Proven experience as an executive assistant or in a similar role.
- Exceptional organizational and time management skills.
- Proficiency in Microsoft Excel and Google Suite, with the ability to efficiently use these tools for data management and reporting.
- Strong written and verbal communication skills.
- The ability to work well under time constraints and maintain a high level of confidentiality with communications and information.
- Ability to prioritize tasks and work independently.
- High level of professionalism and integrity.

- This position is IN office, based out of our Sugarhouse office in Salt Lake City. Working hours are 8:30am - 5:00pm Monday through Friday, and a salary range based on experience. Available immediately.
