The Job: The Professional Learning Assistant will provide administrative support and logistical assistance to programming by managing programmatic data; communicating effectively with team members and School Partners and coordinating all related materials and events. This role will work collaboratively with the department to implement the School Partners Program and Institute for Quality Science Teaching workshops to support all program participants and ensure the effective delivery of programs.

Responsibilities
Materials and Events
  • Provide event planning logistics and administrative support for on and offsite Professional Learning programs (virtual and in-person, including some early morning and evenings), including scheduling, room reservations, transportation, catering, swag ordering, and management and event communication.
  • Provide logistics and administrative support for annual celebratory events including coordination with Museum's events management team and food service.
  • In collaboration with others on the team, inventory, order, store, and maintain programmatic materials annually and as needed.
  • Administer the recruitment, application, and onboarding process of new program participants including soliciting stakeholder recommendations, sending email recruitment letters, facilitating and supporting the cultivation of relationships initiated by senior management, and organizing the application and interview process with Senior Educators. 
  • Support Senior Educators with thought partnership and project management to coordinate and execute Professional Learning experiences, which may include basic facilitation of aspects of Professional Learning workshops.

Communication
  • Assist Senior Educators in implementing regular communication strategy (including email) to all program participants including maintaining database of participants.
  • Assist Professional Learning staff in maintaining consistent, timely email communication with program participants including the coordinator of site visits.
  • Collaborate with the team to update and maintain digital tools used to collaborate with and provide resources to program participants.
  • Assist Senior Educators in implementing communication and strategies for building virtual and in-person communities of practice for stakeholders.
  • Assist Senior Educators and the Museum's digital media team in developing and evaluating additional digital tools to support learning communities.

Data Management
  • Support the ability of the team to make data-driven program decisions by managing and organizing data generated from program evaluations, experiences shared by program participants, and internal team meetings including compiling documents and writing requested reports.
  • Assist Senior Educators and the Museum's Research and Evaluation team in program research and evaluation activities.
  • Support Senior Educators in monitoring School Partners' progress via the digital School Support Tool and participation in Professional Learning Communities and Work Sessions.
  • Maintain and organize documents for the potential research studies and reporting.

Other Responsibilities
  • Collaborate with other Professional Learning Department Teams to support programs, logistics, communication and events as assigned.
  • Actively collaborate with multiple teams across the Museum.
  • Assist with other Education Division programs and collaborations as assigned.
  • Other duties as assigned.

Qualifications
  • Minimum of 3 years' related experience providing support in an education environment.
  • Bachelor's degree is required.
  • Must be creative, dynamic, and intrinsically motivated; exhibit enthusiasm, initiative, flexibility, and openness to new ideas.
  • Detail-oriented; excellent verbal and written communication skills, including public speaking required.
  • Must demonstrate comfort in a team environment with strong collaboration skills.
  • An ability to work on multiple projects and meet deadlines.
  • Excellent program management, planning, problem solving, and organizational skills.
  • Proficiency in Google Suite (Docs, Sheets, Slides, Forms, Sites) required.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) required.
  • Experience in working with stakeholders in K-8 schools such as students, teachers, administrators, and external resource providers.
  • Strong understanding of best practices in STEM during in-school and out-of-school time preferred.
  • Experience in leading collaborative initiatives.
  • Experience in managing large content-based conferences, symposia, or events
  • Familiarity with programming in a variety of educational settings including schools, science centers, and/or other museums.
  • Must have valid driver's license for travel to and from school partner sites.
  • Bilingual ability in Spanish a plus.
  • Language:
    • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
    • Ability to write routine reports and correspondence.
    • Ability to speak effectively before groups of employees of the organization.
  • Mathematical:
    • Ability to calculate figures and amounts such as percentages, area, circumference, and volume.
    • Ability to apply concepts of basic algebra and geometry.
  • Reasoning:
    • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
    • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Physical:
    • While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel and talk or hear.
    • The employee frequently is required to stand, walk, and reach with hands and arms.
    • The employee is occasionally required to sit; climb or balance; stoop, kneel, crouch, or crawl; and taste or smell.
    • The employee must occasionally lift and/or move up to 50 pounds.
    • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Work Environment:
    • While performing the duties of this job, the employee is frequently exposed to moving mechanical parts and risk of electrical shock.
    • The employee is occasionally exposed to wet and/or humid conditions; high, precarious places; fumes or airborne particles; toxic or caustic chemicals; outside weather conditions; extreme cold; extreme heat; and vibration.
