What We Are Looking For

The EPIC Training Manager will be responsible for leading a team of EPIC Trainers that will provide EPIC training courses and support for all staff who use the EHR. Manage day to day activities of the training support team to ensure the team service levels and committed deliverables are completed. Clinical applications trained and supported will encompass but not limited to: EPIC Care Ambulatory, EPIC Cadence, EPIC Kaleidoscope, EPIC Tapestry, EPIC HIM, EPIC Resolute Professional Billing, MyChart Patient Portal and EPIC Wisdom.

Schedule: 4 days per week, 10 hours per day, Monday - Thursday, 7:00 am - 5:30pm | Location: Hospitality Lane Administrative Offices, San Bernardino, CA

ESSENTIAL FUNCTIONS AND DELIVERABLES

  • Manages the clinical application EPIC training team and ensures availability of EHR training support by implementing KPIs and ensuring given service level agreements.
  • Proven ability to work transversely across departments, supporting EPIC training support needs in multiple channels, escalating issues to IT management, and partnering with stakeholder managers plus leaders.
  • Support and mentor EPIC credentialed trainers, including prioritizing and assigning work; provide training for staff. Ensure that employees follow policies and procedures; maintain a safe working environment; conduct performance evaluations; handle payroll and timekeeping for staff, make hiring, disciplinary, and termination recommendations to department leadership.
  • Navigate resolutions to challenging incidents, requests, and customer escalations.
  • Partner with and influence stakeholders to promote simplification, standardization, and innovation.
  • Hold weekly standups with clinical applications team to go over KPIs, escalations, problem tickets and projects.
  • Maintain exceptional interpersonal relations with subordinates, peers, users, and vendors.
  • Maintain professional and EPIC knowledge by providing oversight to training team that delivers structured education on assigned application modules for the Sac Health EPIC electronic health record (EHR) system to a diverse audience of end users.
  • Supervise their team that provides tutorial or special audience training and assists as needed with the sustainment training support for all end users via onboarding classroom setting, remotely with teams and physically on-site (as needed).
  • Accountable for maintaining the readiness of training rooms, assembling training materials, generating status reports on training sessions and participating in the quality improvement process.
  • Ensures the readiness of training rooms, computer workstations, devices, and materials in preparation for classes; collaborates with administrative support staff to ensure accurate attendance and reporting from classes.
  • Responsible for development and assessing the effectiveness of the training curriculum to identify and contribute to quality improvements. Provides "go-live" support and serves as a training resource to assigned departments and clinics.
  • Collaborate, support, and function in a teaching organization that builds, coaches, and embraces interns and residency programs. Demonstrate a passion for the team and consistently work with rotating doctors, residents, and interns, while continuously building a trusting, safe, patient-centered workplace.
  • Demonstrate the ability to be culturally sensitive and respect diversity, work effectively and with individuals of different cultures and socioeconomic status, a passion for service.
  • Respond to users' inquiries in person, telephone, and e-mail concerning systems operation. Diagnose system hardware, software, and operator problems. Recommend or perform actions to correct issues and problems.
  • Lead and provide support for the on-site computer support related to satellite clinics for the usage of the EPIC application.
  • Travel to other clinics/offices as necessary; must have a reliable vehicle, valid driver's license, and auto insurance.

QUALIFICATIONS:

  • Education: Bachelor's degree in Computer Science, Systems, Education and Training or related field required. Experience in lieu of degree will be considered - see experience.
  • Licensure/Certification: Valid CA driver's license, and auto insurance. Within one year of employment, the position requires successful completion of the EPIC credentialing process, successful completion of teaching presentation before a panel, and successful completion of a credentialing examination.
  • Experience: Required Experience: Minimum of 5 years training experience developing curriculums and 2 years managing other trainers required. Preferred Experience: Information Systems or Project management, developing or supporting medium to large enterprises on educational training programs, substantial knowledge/experience with Cloud infrastructure/architecture, familiarity
    with Information Technology Infrastructure Library (ITIL) / Service management tools.
  • Essential Technical/Motor Skills: Proficiency at an intermediate level is required for utilizing Learning Management Systems or other multimedia software applications to create and record video training tutorials and presentations. Additionally, experience with training documentation software is necessary for producing training materials, educational job aids, tip sheets, manuals, and knowledge-based articles. Computer and software program knowledge necessary to the position is required, including Microsoft Office Suite (Word, Excel, PowerPoint, Visio, OneNote etc.) and various other productivity suite components.
  • Interpersonal Skills: Possess excellent communication and listening skills with the ability to convey information and interact and communicate positively, effectively, and professionally verbally and in writing with all levels of staff, providers, residents, and patients. Able to effectively motive, direct, train and assist staff members through effective leadership and management. The ability to create and
    maintain a cohesive team environment and exhibit ethical decision making practices. Ability to establish effective relationships with individuals in similar leadership roles in and outside the organization.
  • Essential Mental Abilities: Ability to gather, analyze, and interpret complex data, create accurate meaningful information, define problems, make strong recommendations and draw valid conclusions for data reporting and decision support. Excellent organizing, prioritizing, planning, and project management skills with the ability to successfully manage multiple projects and implement objectives effectively.
    Effective management skills with ability to encourage and promote cooperation and commitment from staff to obtain goals and objectives. Assertive and consistent in following and/or enforcing policies.
