Jimmie Giles Financial LLC (JGF) is looking to hire an office assistant. We are seeking a reliable and organized Office Administrative Assistant to help manage the day-to-day admin of our Company. This is an in-office position, not remote. This position will include, but is not limited to:


ADMINISTRATIVE ASSISTANT ESSENTIAL FUNCTIONS

  • Open office & ready to answer phones by 9am - close by 5pm Monday thru Friday.
  • During an active catastrophe (hurricane), hours may be extended.
  • Be a team player. Greet anyone who comes to the office. Create a positive environment and grow with the company.
  • Process correspondence in a timely and systematic manner.
  • Compile and prepare reports and documents accurately.
  • Classify and file all documents to be maintained in the office in a retrievable system.
  • Schedule meetings, appointments, and work assignments to meet or exceed deadlines.
  • Communicate effectively and demonstrate respect, concern, and courtesy in all interpersonal communications.
  • Monitor supplies, equipment and services required in the Insurance Business.
  • Maintain skills and continue professional development to enhance the operations and image of the organization.
  • Adhere to personnel policies to enhance the operation of the Insurance industry.
  • Attend training and meetings as required.
  • Answering phone calls in a friendly and professional manner.
  • Credential adjusters using JGF specific software and Insurance Carrier specific software.
  • Speak with adjusters via phone regarding details of their deployment.
  • Review shared eMail mailboxes and reply accordingly.
  • Utilize Microsoft Teams to share and disseminate information.
  • Be flexible with learning new skills and duties.

ADMINISTRATIVE ASSISTANT REQUIRED EDUCATION / EXPERIENCE

  • At least 2 years of administrative experience or the equivalent of education and experience.
  • Must possess a good working knowledge of all Microsoft Office applications including: Word, Excel, Outlook and PowerPoint, and Teams
  • Ability to communicate effectively, both orally and in writing; ability to maintain calendars and schedule appointments.
  • Ability to divide attention among several tasks and prioritize those tasks.
