Position Summary:
This role is responsible for working with Fleet & Facility leadership to handle day-to-day administrative responsibilities, create efficiencies within his/her scope of responsibility, and serve as the first point of contact for guests and employees visiting our office. This is a highly visible role requiring a professional and customer-focused demeanor, the ability to multi-task, and work together with all office staff and leadership.
Essential Duties & Responsibilities:
- Greet all visitors, whether client or employee, with a professional and friendly attitude.
- Answer and transfer phone calls, screening when necessary, and direct to appropriate staff.
- Take messages and communicate them to appropriate parties.
- Maintain filing systems as assigned and retrieve information as requested from records, email, minutes, and other related documents; prepare written summaries of data when needed.
- Respond to and resolve administrative inquiries and questions.
- Coordinate and schedule travel, meetings, and appointments for managers or supervisors.
- Maintain and stock office supplies and coordinate maintenance of office equipment.
- Sort mail and distribute appropriately.
- Assist with monthly vehicle registrations and renewals through the Department of Motor Vehicles.
- Help organize meetings and company events.
- Perform data entry as needed.
- Assist Fleet Leadership with maintenance schedules and routine registration for Company Fleet Vehicles.
- Coordinate construction site services including but not limited to portable toilets and waste removal.
- Reconcile Monthly Fuel Utilization Report.
- Maintain and monitor vehicle/asset tracking systems.
- Order and track logistical permits.
- Draft, review, and proofread office documents.
- Manage and organize the front desk area.
- Responsible for operating and maintaining office machines, including printers, copiers, and fax machines.
- Must be able to work autonomously.
- Perform other related duties as assigned.
- High School Diploma or equivalent
- 2+ years of experience as a receptionist in a busy office preferred
- Microsoft office suite proficiency
- Ability to multi-task in a fast-paced environment
- Experience in the renewable energy arena a plus
- Able to remain extremely professional, composed, and competent in a fast-paced, changing environment.
- Excellent written and verbal communication skills with the ability to professionally interact with all levels of the organization.
- Exceptional attention to detail.
- Flexible and cooperative with a well-developed team spirit.
Physical Requirements:
- May be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer keyboard and telephone, along with other general office equipment.
- Close vision abilities required due to computer work.
- Light to moderate lifting/carrying of 25 lbs may be required.
- Reaching overhead or below.
- The work environment may include being able to tolerate moderate noise (i.e., business office with computers, phones, printers, light traffic).
- Ability to sit at a computer terminal for an extended period.
