POSITION SUMMARY
The Quality Specialist I (QS I) will be responsible for organizing and maintaining health information both in paper files and in electronic systems. The QS I will track and respond to all record requests in a professional, timely, and welcoming manner. This position also responds to all medical documentation needing to be uploaded into the Electronic Health Record (Kipu).

ESSENTIAL JOB FUNCTIONS
  • Complete requests for patient records in an accurate and timely manner.
  • Process subpoenas and court orders and track case status.
  • Answer the department phone line and return voice mails as appropriate.
  • Monitor the department fax line, download and process documents daily.
  • Monitor the department email and upload patient documents to the appropriate charts as they come in.
  • Remove invalid documents from charts as requested.
  • Check the Quality Management/Records physical inbox daily and file hard copy items appropriately.
  • Audit patient charts for specific documents as requested.
  • As requested, support with regular department tasks such as the patient satisfaction survey, checking the patient grievance box, and quarterly chart reviews.
  • Assist with onboarding new department staff, and support all staff with questions about records requests and Release of Information forms.
  • Provide support regarding patient records to other departments as appropriate.
  • Safeguard client confidentiality according to state and federal law.
  • Participate in regular Quality Management team meetings


SUPERVISORY FUNCTIONS
  • This position has no supervisory duties

WORKING CONDITIONS
  • This position generally works in an indoor office environment with infrequent travel between sites or to special events.
