Job Overview:
The Administrative Assistant will be responsible for performing administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers.
1. Provide customer service support to internal and external customers, clients, and vendors.
- Courteously and promptly determines the nature of a caller’s business and directs callers and visitors to the appropriate person.
- Provides answers to routine inquiries and other information as appropriate.
- Organize and schedule meetings and manage calendars for leadership.
- Manage scheduling of conference rooms.
- Provide general support to visitors, assist clients, and assist other staff members as required.
2. Provide Administrative support for the efficient operation of the office by performing a variety of clerical and organizational tasks.
- Produce and distribute memos, letters, faxes, and forms, and draft and edit reports.
- Run standard reports and perform ad hoc reporting to support department programs.
- Assist in coordinating employee recognition programs. Identifies, prepares, and distributes service awards.
- Manage office supply inventory such as stationary, equipment and furniture.
- Maintain office equipment and manage vendor relations.
Requirements and Skills:
- High School Diploma or GED
- Three years of customer service or administrative experience
- Proficiency in Microsoft Office, other equipment or systems, etc.
- Excellent communication and interpersonal skills
- Ability to work with various departments and leadership levels and fosters teamwork and collaboration.
- Ability to work independently within minimal supervision.
- Ability to maintain confidentiality and operate ethically.
