CLASS TITLE: ADMINISTRATIVE SECRETARY II / TECHNOLOGY
BASIC FUNCTION:
Under the direction of the Director of Technology, this person will organize District Student Information system, perform responsible secretarial and clerical work, assist the Director with administrative matters requiring knowledge of department policies and procedures related to District rules and regulations, federal guidelines and related codes and laws.
DISTINGUISHING CHARACTERISTICS:
Administrative Secretary II personnel report to an administrator at the level of Director with a major Districtwide program.
REPRESENTATIVE DUTIES:
Perform responsible secretarial and clerical work related to the function to which assigned.
Plan, organize and coordinate activities to assist the Director in administrative matters.
Assure timely communications between office and District employees; make phone calls to receive and transmit information; type memos, bulletins, letters and notices; monitor Technology budget; prepare Board agenda items and related materials.
Order computer parts from Apple computer for district wide use.
Operate a computer terminal to enter student data; process computer runs and reports as required; and verify accuracy of student records.
Research and compile difficult and complex statistical and written reports related to the District Student Information System; assist in organizing materials for special projects.
Review, check, correct and compile information from schools; verify data for accuracy, completeness and compliance with established procedures.
Communicate with teachers, school office staff, counselors, administrators and clerks, and parents regarding school and student information.
Provide secretarial and clerical assistance to other staff as necessary.
Train and provide work direction to school office managers with regard to District Student Information System.
Maintain confidentiality of records and information, including information regarding Board, District, personnel, student or any controversial matters.
Attend training and in services related to school records and data management procedures.
Relieve District Office receptionist on either breaks or lunch.
Perform related duties as assigned.
KNOWLEDGE AND ABILITIES:
KNOWLEDGE OF:
Methods and practices of statistical record-keeping involving data processing equipment.
Formats and procedures for entering and retrieving various types of data.
Modern office practices, procedures and equipment.
Record-keeping techniques.
Correct English usage, grammar, spelling, punctuation and vocabulary.
Oral and written communication skills.
Interpersonal relations skills using tact, patience and courtesy.
ABILITY TO:
Operate a computer terminal to enter student data and generate a variety of computer reports, records, and lists.
Type accurately at an acceptable rate of speed.
Perform responsible secretarial and clerical work related to the function to which assigned.
Verify accuracy and completeness of documents and process data.
Compile, maintain and submit accurate and complete records and reports.
Read and interpret data processing printouts.
Understand and follow oral and written directions.
Establish and maintain cooperative and effective working relationships with others.
Work independently with little direction.
Meet schedules and time lines.
Plan and organize work
Work confidentially with discretion.
Analyze situations accurately and adopt an effective course of action.
Train and provide work direction to others.
Make arrangements for meetings, workshops and conferences.
Maintain a variety of files.
EDUCATION AND EXPERIENCE:
Any combination equivalent to: graduation from high school including or supplemented by college-level course work in business administration, office management or related field and three years of increasingly responsible clerical and secretarial experience involving public contact.
