Your responsibilities will include but are not limited to, greeting visitors, assisting clients on-site, preparing meeting spaces, handling phone calls, managing mail, and other various administrative duties. You'll also play a key role in planning and coordinating social events.

 

Working closely with the Assistant to the President and external vendors, you'll help maintain our agency's reputation of an organized and vibrant workplace. This involves overseeing office maintenance, safety, and security, managing inventory, and supporting office systems all while maintaining accurate reports.

 

In our dynamic environment, agility is essential, as you frequently switch between reception duties and independent projects. Being a quick learner with a keen eye for detail is crucial, ensuring you grasp processes and procedures promptly and execute them meticulously.

 

We're seeking a resourceful team player who thrives on problem-solving and excels in organization. Your congenial nature extends to hosting after-hours social events for the Schaefer team, and a love for creating infused fruit water is a definite plus.

Required Physical Abilities:

  • Ability to sit for extended periods while performing administrative tasks and attending to visitors.
  • Ability to move around the reception area and office space swiftly and safely to assist visitors, answer phones, and handle administrative duties.
  • Capacity to use office equipment and technology effectively, including computers, telephones, printers, and other essential tools required for the role.
  • Willingness to assist with light cleaning and organization tasks to maintain a tidy and welcoming reception area.
  • Enthusiasm to assist with minimal food/beverage preparation. This could include cutting fruits, arranging platters, or setting up refreshment stations.
  • Capability to lift, carry, or push objects weighing up to 50 lbs on occasion, such as moving supplies or assisting with deliveries.
  • Comfort with regularly lifting and carrying objects weighing between 5-10 lbs, such as packages or office equipment.
  • Adaptability to a physical environment that may require bending, stooping, reaching, and grasping to perform tasks efficiently.
  • Physical stamina to remain active and engaged throughout the workday, maintaining a professional demeanor while multitasking and attending to various responsibilities.

 

Experience

  • Proven work experience (3 years or more) as a Receptionist, Front Office Representative, or similar role.
  • Strong computer skills, (Mac preferred), well versed in the Office 365 Suite, Adobe Pro, Zoom, Dropbox,  and Google WorkSpace applications.
  • Ability to be resourceful and proactive when issues or emergencies arise.
  • Strong written and verbal communication skills, with fluency in English.
  • Professional attitude and appearance.
