Shift: Days (8am to 4pm)

What do I need as a Home Care Staff Coordinator with Messiah Lifeways?

  • High School Diploma.
  • Must have excellent customer service skills.
  • Secretarial experience preferred.
  • Must have a valid driver's license and current auto insurance.

What will I do as a Home Care Staff Coordinator with Messiah Lifeways?

  • Provide excellent customer service skills to the At Home areas by promptly answering the phones, providing basic information to the caller and directing calls as needed.
  • Provide excellent customer service skills by having strong interpersonal communication with current clients and families, prospective clients and families and other Messiah Lifeways staff. Could have face-to-face interaction with clients with dementia, intellectual developmental delays and cognitive impairments.
  • During an inquiry call, gather all information possible about the caller's needs and the contact information and discuss the community support service that might best fit the caller's needs. The goal of inquiry calls for ML At Home should be to schedule an in-home appointment with the ML At Home Lead Caregiver/ Director of CSS.
  • Prepare monthly schedules for staff and clients.
  • Update schedules as month progresses and as changes occur to ensure coverage for clients. These updates include calling the clients with schedule changes.
  • Mail ML At Home materials to the inquiry as requested.
  • Prepare ML At Home client calendars for mailing monthly and as changes occur.
  • Make telephone calls to clients and staff as needed.
  • Maintain supply of documents such as ML At Home Client Service Agreements, Housekeeping agreements, and Transportation agreements.
  • Schedule staff for new cases as they are received and updates and reschedules in problem areas as they arise.
  • Make calls to clients and staff as needed to communicate any changes to schedules.
  • Confident to communicate the location of each client and give information and directions to staff as cases are assigned.
  • Understand client care plans and is able to brief staff as needed.
  • Assist with marketing strategies and planning for expansion of services.
  • Provide input to the Director of CSS for ongoing ML At Home Caregivers' job performance for their annual performance evaluations.
  • Assume on-call rotation responsibilities.
  • Assist Director of CSS with completion of payroll and billing by verifying caregivers' times in Kantime.
  • Refer any questions about client's medical conditions, challenges, concerns or functional decline to the team leads and Director of CSS.
  • Confidentiality regarding resident information must be maintained in strict confidence, as well as other information pertaining to the business of Messiah Lifeways
  • If the ML At Home Assistants do not provide the required availability calendars or do not indicate the required minimum hours, the At Home Staff Coordinator will call the staff and obtain the needed information. At Home Staff Coordinator will need to communicate any challenges in this area to the Director of CSS for follow up.
  • Have strong knowledge of the ML At Home operations and the agreements so information can be provided to prospective clients and families.
  • Help coordinate the required CPR, First Aid, Lift/Dignity and Feeding training for the At Home Staff
  • Complete chart audits and other preparations for the licensing surveys as needed.
  • Assist the Director of CSS in making preparations for meetings and maintain minutes as necessary. Monitor meetings and educational obligations for attendance and ensure that the staff receives information via alternative means.
  • Ensure that ML At Home staff is aware of in-services and any other activities that may be relevant to their position, regulations or of interest to them.
  • Utilize safety devices and follow safety precautions.
  • Follow emergency procedures and respond rapidly and appropriately to emergencies, ensuring the safety of the residents and staff.
  • Follow proper procedures and promote safe work practices in order to maintain a safe working environment.
  • Assist with the orientation and training of new ML At Home staff as determined by the Director of CSS. Scheduling of shadowing hours prior to routine schedule.
  • Work cooperatively and productively with others, including clients, families, and other employees.
  • Ordering of office supplies.
  • Participate in weekly admissions and RL ops meetings with Director of CSS.
  • Willing to work under direction and supervision.
  • Work cooperatively and productively with others, including clients, residents, families, and other employees.
  • Manage the ML At Home Transportation Schedule.
  • Potential to supervise the ML At Home Transportation Assistants.
  • Complete other duties as assigned by the Director of CSS.
