Tax Administrative Assistant

The Tax Administrative Assistant is a member of the tax team, supporting the department
through administrative duties, maintenance of tax software and positive client interactions.
Tax Admin Duties:
- Process incoming and outgoing client work (scanning).
- Set up clients in various databases, ensuring IDs are created according to procedure.
- Provide phone support to clients needing assistance with the online tax portal.
- Proforma clients each year in Ultra Tax software and set up organizers.
- Send organizer to clients
- Inactivate client portals after 30 days.
- Set up and inactivate client portals to support paperless environment
- Account Receivable – help with collection
- Assist operations coordinator with pulling reports from tax software (to include software comparison reports).
- Reporting: run and send birthday report to marketing, client tracking report to operations, project due date report to operations coordinator.
- Type and design general correspondences and memos to clients and network groups. Proofread copy for spelling, grammar, and layout, making appropriate changes prior to manager’s approval. (i.e., engagement letters)
- Assist operations coordinator with scheduling and organizing activities such as meetings, travel, conferences, and department activities.
- Calendar Maintenance for tax leadership.
- Maintain CPE records for all CPAs.
- Order department supplies (to include payroll forms and envelopes for W-2/1099)
- Scanning and mailing as needed.
- Upload POAs and pull transcripts.
- Work independently and within a team on special projects.

Required Skills/Qualifications:
- Prior experience with Thompson Reuters tax software (Ultra Tax) is highly desired.
- Strong software skills with proficiency in Microsoft Office Suite and the ability to learn new software programs quickly.
- Self-starter, team player and ability to multi-task.
- Ability to follow established procedures with attention to detail.
- High level of interpersonal skills to deliver a positive experience when assisting clients.
