Job Summary:

MI Technical Solutions is looking for a Travel Assistant responsible for all aspects of travel arrangements and submittal of travel documentation. The candidate will submit travel requests, schedule hotel, flight, and car rentals, provide itineraries, and complete travel claims. An understanding of Joint Travel Regulations (JTR), GSA regulations, and Department of State (DSSR) travel policies and process are essential for this position.

Responsibilities:

  • Assist managers and travelers with composing Travel Authorization Requests (TARs) for East Coast travelers in accordance with company policies, government laws and regulations, and contract guidelines.
  • Review all TARs prior to submission to Travel Coordinator (East Coast, West Coast and Sub-Contractors) in accordance with company policies, government laws and regulations, and contract guidelines.
  • Assist with arranging airline, hotel, and car rental reservations, including any changes that need to be made prior to or during travel.
  • Track and update company travel tracker.
  • Assist travelers with Travel Expense Reports (TERs). Review all TERs for accuracy and create PDF to include all travel receipts prior to submitting to Travel Coordinator.
  • Verify Government Per Diem Rate for travel locations on Travel Requests and Travel Claims
  • Work with managers to obtain required information for travel cost estimates and provide cost estimates as requested.
  • Assist with reviewing Sub-Contractors travel claims/invoices for accuracy.
  • Ensures all travel claims are in compliance with applicable federal and/or state laws, regulations, and/or agency rules, standards, and guidelines to include Joint Travel Regulations (JTR), GSA Regulations and Department of State (DSSR).
  • Act as a backup when Travel Coordinator is out of the office.
  • Work with managers and travelers to obtain accurate and up to date information regarding upcoming travel.
  • Assist with updating travel documents.
  • Keep track of ship movements to help predict upcoming travel with Resource Tracker Meeting.
  • Other admin tasks as needed/required.

Requirements:

  • Must be eligible for and maintain a DoD Secret Clearance
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite or related software.
  • High School diploma required or associate degree preferred.
  • Minimum of 1 year experience in travel administration.
  • Working knowledge of international travel arrangements.
