TAX ASSEMBLY ASSISTANT

Location: Colorado Springs, CO. This position is in-office and not remote eligible.

Pay Range: $20.00-$24.00 hourly.

What We're Looking For:

  • High School Diploma required.
  • Intermediate level of proficiency in Microsoft Office Suite.
  • Basic level of proficiency in PDF software Adobe.
  • Intermediate proficiency with general office equipment. 

What You'll Be Doing:

As a Tax Assembly Assistant, you will assist with processing client deliverables to include tax returns, extensions, payment vouchers, and notice responses in an accurate and timely manner following established procedures. In addition, you will provide administrative and clerical support to the tax team. 

Essential Duties:

  • Assist with the assembly of paper copies of tax returns and preparation of associated payment vouchers; ensure label and return-to-client information is accurate. 
  • Assist with tax return e-file submissions, route e-file status sheet to appropriate project manager; Assist project manager with any e-file rejection notices; Upload scanned e-file forms into document management system.
  • Maintain accurate client information in firm practice management & tax software.
  • Contact clients to facilitate receipt of outstanding 8879 forms.
  • Field client inquiries regarding access to the Client Portal.
  • Assist with preparation and mail distribution of client engagement letters and project organizers.
  • Assist with front desk management; answer phones, greet clients and walk-ins, handle incoming/outgoing mail.
  • Scan & upload client emails & source documents to file management system and proper tax software.
  • Assist Billing Coordinator with invoices as needed.
  • Performs other duties as assigned.

  • Excellent written and verbal communication skills.
  • Demonstrated high attention to detail and accuracy. 
  • Very comfortable with operation of office equipment and tax prep software.
  • Ability to work in a deadline driven environment & handle multiple projects/tasks. 
  • Excellent interpersonal skills. 
  • Understand and maintain the confidentiality of all information. 
  • Ability to respond tactfully and professionally in high demand or stressful situations.
