OVERVIEW

The Care and Counseling Coordinator is responsible for providing administrative, project management and communications support for the Care & Counseling Pastor and the Director of Counseling, as well as the Care & Counseling Ministry. In addition, s/he is responsible for processing benevolence requests and coordinating weddings and funerals.

ESSENTIAL FUNCTIONS

  • Manage and coordinate promotion, creatives, registration, communication, materials, room reservations, scheduling, timelines, and logistics as needed for:
    • Counseling Ministries/Groups (GriefShare, DivorceCare, Shiloh Infertility Group, Boundaries, Regeneration, Mental Health Support Group, etc.)
    • Joyous Giving
    • Weddings
    • Funerals & Memorial Services
    • Care & Mercy Teams
  • Process benevolence requests for financial assistance, receiving incoming phone calls, meeting with walk-ins, responding to electronic requests, and following the process through to completion.
  • Manage calendars for Care & Counseling Pastor and Director of Counseling, discerning the nature of meeting requests and scheduling or redirecting as appropriate.
  • Recruit and train volunteers for counseling groups, Care Team, Mercy Team, and Joyous Giving.
  • Order gift cards and maintain disbursement records.
  • Provide initial project management to help execute projects and goals and coordinate follow-up at critical times.
  • Research various topics as needed for projects, benevolence, and initiatives.
  • Take meeting minutes for various team and project meetings.
  • Order books, supplies, and materials as needed and maintain an inventory of resources.
  • Other support tasks as needed.
  • Use volunteers where possible to accomplish tasks.


COMPETENCIES

  • 3+ years of administrative assistant experience
  • Excellent written and verbal communication skills
  • Mature in interpersonal relationships, with the ability to maintain confidentiality
  • Strong organizational and time management skills
  • Ability to problem solve
  • Critical and analytical thinking
  • Highly proficient with technology, including Microsoft Office applications


SCHEDULE

  • 1x Per Week – Meet with the Care and Counseling Pastor
  • 1x Per Week – Attend the weekly All Staff Meetings on Tuesday mornings.
  • 1x Per Week – Attend the weekly All Staff Prayer Pause.
  • 1x Per Year – Participate in the All-Staff Retreat, typically in June.
  • Christmas Eve + Easter Sunday Gatherings
  • As Needed – Initiate/attend project-specific meetings
  • As Needed - Sundays to support Care and Counseling initiatives.


RELATIONSHIPS

  • Reports to the Pastor of Care and Counseling
  • Works closely with the Director of Counseling
  • Works closely with Administrative Assistants and Coordinators
