The Patient Access Representative and Procedure Scheduler is a dual-role position responsible for delivering exceptional patient service, managing patient registrations, scheduling procedures, and ensuring smooth operations within a healthcare setting. This role involves interacting with patients and their families, handling scheduling for various procedures and surgeries, and performing clerical duties to support efficient facility operations.
Essential Duties and Responsibilities:
Patient Access Representative Duties:
- Greet patients, visitors, and family members with a positive and professional demeanor, creating a welcoming environment.
- Register patients by confirming, entering, and updating demographic data in the electronic medical record (EMR) system.
- Verify insurance eligibility and obtain necessary copies of insurance cards, ensuring accuracy of patient information.
- Educate patients on procedure preparations, insurance requirements, billing information, and financial responsibilities.
- Collect co-payments, deductibles, and patient balances, ensuring accurate documentation and processing.
- Address patient inquiries, explain visit instructions, and resolve any concerns or questions.
- Manage incoming calls, take messages, return calls, and document interactions accurately.
- Perform miscellaneous clerical duties, including preparing and balancing daily financial registers.
- Ensure the reception area is prepared for daily operations and secure the facility at the end of each business day.
Procedure Scheduler Duties:
- Schedule patient appointments for routine procedures and complex surgeries, adhering to physician orders and established scheduling policies.
- Communicate procedural information and preparation requirements to patients and their families, including financial obligations.
- Coordinate with providers and physicians regarding scheduling, educational materials, and procedural orders.
- Send physician orders to endoscopy and surgery centers, and schedule surgeries/procedures within designated block times.
- Monitor and manage scheduling accuracy, addressing delays, cancellations, or issues, and communicating with support staff as necessary.
- Refer complex scheduling issues to appropriate decision-makers and provide recommendations for problem resolution.
- Comply with organizational and HIPAA policies to maintain patient confidentiality.
- Assist with additional operational duties as assigned.
Qualifications:
- High school diploma or equivalent.
- Minimum of 1 year of customer service experience required; experience in a healthcare setting preferred.
- Minimum of 2 years of experience in a healthcare setting required; 1 year of experience scheduling surgeries/procedures preferred.
- Proficiency in MS Office (Word, Excel) and knowledge of medical terminology required.
- Knowledge of ICD-9 and CPT Coding preferred.
- Proficiency in scheduling software preferred.
Skills and Abilities:
- Strong communication and interpersonal skills to effectively interact with patients, families, and healthcare providers.
- Attention to detail and accuracy in managing patient information and scheduling.
- Ability to handle multiple tasks and prioritize responsibilities in a fast-paced environment.
- Problem-solving skills to address and resolve scheduling and patient access issues efficiently.
