Job Summary

That's why we're on the lookout for a talented and dedicated individual to fill the role of Administrative Assistant/Office Marketing Manager. In this role, you will provide support to our executives and employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling appointments, planning meetings, and writing correspondence. You will also be communicating with our customers about their vehicles so you are expected to be welcoming and energetic and grateful to customers for doing business with us. You will manage our business google profile and track our 5-star reviews. You will be taking daily pictures documenting the progress of each vehicle and organizing these pictures on our Amazon Photos repository. You will be responsible for using these pictures to post on social media sites like Instagram, Facebook and Google Reviews photos. You will maintain the front office to make customers feel welcome by keeping the area tidy and organized. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.

Responsibilities (What you will do)
  • Efficiently Manage Office Operations: From coordinating meetings to handling correspondence, you'll be the go-to person for keeping our office running smoothly.
  • Provide Stellar Administrative Support: You'll handle a wide range of administrative tasks, from scheduling appointments to preparing reports, ensuring that our team stays focused and productive.
  • Be the Face of the Company: As the first point of contact for clients, visitors, and vendors, you'll represent our company with professionalism and courtesy.
  • Support Executive Team: You'll assist our executives with various tasks, providing them with the support they need to excel in their roles.
  • Communicate with customers about their vehicles
  • Manage Google Profile and track google reviews
  • Take daily pictures of progress on vehicles
  • Manage photo repository on Amazon
  • Manage social media profiles on Instagram, Facebook and google and schedule daily, weekly and monthly posts
  • Answer incoming phone calls and route them to the appropriate person
  • Schedule appointments and maintain a calendar
  • Organize meetings and take accurate minutes
  • Write emails, memos, and letters and distribute them appropriately
  • Contribute to company reports
  • Maintain an organized filing system
  • Develop, update, and maintain relevant office procedures.
  • Keep front office tidy and organized so customers feel welcome when they walk in.

  • Familiarity with standard office equipment such as printers and fax machines
  • Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
  • Highly organized with excellent time management skills and the ability to prioritize projects
