JOB SUMMARY: Serves patients by greeting and helping them; scheduling appointments; maintaining records and accounts. Serves as an integral part of the healthcare team assisting in patient care management.

PRIMARY DUTIES AND RESPONSIBILITIES:

  1. Welcomes patients and visitors by greeting them, in person or on the telephone, answering or referring inquiries
  2. Verify insurance and ensure mental health coverage. Obtain prior authorization if required by the insurance company.
  3. Optimizes patients' satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone. Call and confirm all Behavioral Health appointments.
  4. Keeps patient appointments on schedule by notifying provider of patient's arrival; reviewing service delivery compared to schedule; reminding provider of service delays
  5. Comforts patients by anticipating their anxieties; answering patients' questions; maintaining the reception area
  6. Maintains patient accounts by obtaining, recording, and updating personal and financial information. Update Behavioral Health paperwork yearly and as needed.
  7. Obtains revenue by recording and updating financial information; recording and collecting patient charges
  8. Maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; scheduling equipment service and repairs
  9. Helps patients in distress by responding to emergencies
  10. Protects patients' rights by maintaining confidentiality of personal and financial information
  11. Maintains operations by following policies and procedures; reporting needed changes
  12. Contributes to team effort by accomplishing related results as needed
  13. Assists with the preparation of patients prior to seeing medical or behavioral health provider(s)
  14. Distributes lab reports to medical or behavioral health provider(s) for review
  15. Maintains logs of required data as needed
  16. Participates in departmental Quality Assurance and other patient related committees as needed
  17. Acts as the patient’s advocate and liaison for preservation of patient’s rights
  18. Participates in off-site screening projects as needed
  19. Participates in outreach and community screenings as needed
  20. Participates in case management and patient surveys in maintaining quality assurance
  21. Records-send request for incoming records and send outgoing records as requested
  22. Referrals-For Behavioral Health Services, process incoming paperwork, verify insurance and schedule appointments.

OFF-SITE WORK:

  1. Off-site work is required occasionally. Examples include off-site training and health fairs.
  2. This position does have the option to work off-site with the supervisors’ approval.

SKILLS/QUALIFICATIONS:

  1. High School Diploma or equivalent required
  2. Two years’ experience working in a related health care field
  3. Bilingual in English and Spanish is preferred
  4. Behavioral Health experience a plus
  5. Problem Solving: Frequent problems arise in this position that are outside established policies or bodies of knowledge calling for high-level skills in problem solving.
  6. Decision Making: Frequent situations arise in this position calling for careful and analytical judgment.
  7. Supervisory: Extensive responsibility for the direct supervision of management staff and contract employees. Requires the judicious use of delegation.
  8. Interpersonal: Must interact with employees, Board of Directors, government officials, and the general public.
  9. Working Conditions: Works in well-lighted, climate-controlled building. May be subjected to appearance in less than desirable environment and travel in adverse weather conditions. May be exposed to body fluids.

WORKING CONDITIONS:

  1. This position will sit and stand throughout the workday, both inside and outside of the facilities as needs arise.
  2. The position will need to be responsive to needs in the evenings, on weekends and during holidays.
