Job Summary:

The Executive Assistant provides professional administrative support by utilizing excellent customer service and organizational skills to reduce the workload on company executives. The Executive Assistant will be responsible for providing professional assistance to the Executive Director regarding travel, telephone calls, meetings, appointments, correspondence, and other business with upmost confidentiality. This person will also assist in maintaining electronic files of corporate documents, including official minutes, bylaws, governing policies, bank statements, investment statements, accounts payable, and accounts receivable. Additional duties include assisting in nominations for new commissioners by reviewing applicants, preparing ballots, and corresponding with newly elected Commissioners. This individual will also be responsible for processing expense reimbursement forms, incoming and outgoing mail, reconciling credit card statements, banking deposits, conference registration, and preparing materials for Conferences and meetings as directed.


Required Education and Experience

• Baccalaureate degree

• Minimum of 5 years of progressive experience in a professional office setting

• Excellent written and oral communication skills

• Ability to initiate, organize and prioritize workload

• Proficiency in the use of computers for word processing, data analysis and management, e-mail and Internet

• Ability to think and work independently and as part of a team

• Strong attention to detail

• Ability to adjust and adapt to changing circumstances

• Ability to interact in a professional manner with staff, volunteer leaders, program personnel, and the public

• Ability to deal discreetly with confidential information


Work Environment

This job operates in a Hybrid (virtual and in-office) professional office location and environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of Work

This is a full-time position. Days of work are Monday through Friday. This position could occasionally require over-time and minimum travel.
