Job DescriptionJob DescriptionPosition SummaryThe Vendor Management/Contract Specialist works with internal business owners to source potential vendors for the business’ needs and assists in performing due diligence on selected vendors in advance of contract negotiation and execution. Once executed, the Vendor Manager/Contract Specialist assists in monitoring ongoing contract performance and obtaining any needed annual insurance and data security certifications. Essential Functions

Source and Evaluate Vendors and Contractors

  • As business needs are identified, work with business owners to research and evaluate potential vendors and contractors.
  • Interact with business owners and external parties to coordinate and facilitate the contracting process while assuring all timelines are met.
  • Assist business owner in obtaining, validating, and completing documents for legal review, to include contract request form and any contract documents provided by the vendor.
  • Coordinate with business owner, HR, and GRC on vendor and contractor onboarding to ensure all training, paperwork, and background checks are completed prior to contract start date.

Manage Vendor Relationships

  • Develops and manages vendor relationships that align with organizational requirements.
  • Assist in monitoring, evaluating, and documenting vendor and contractor performance against contractual requirements.
  • Facilitate initial and biannual oversight assessments of medium and high-risk vendors, to include obtaining completed vendor assessment questionnaires and supporting documentation.
  • Assist in resolution of service issues and escalate higher impact issues to management.
  • Engage with internal and external stakeholders to ensure frequent communication and alignment.

Support Legal Department Operations

  • Create and maintain an inventory or inventories of CCNC vendors and contractors by needed categories, such as high-risk vendors, software vendors, independent contractors, etc.
  • Track upcoming milestone events, to include deliverables, renewals, and termination dates; and work with business owners to determine whether to renew or terminate prior to contract end date.
  • Analyze and report on contracts as needed to provide insight to the business owner.

Qualifications

  • Bachelor’s degree in business administration, marketing, accounting, finance, economics, pre-law, or similar, or equivalent work experience.
  • Two (2) or more years of experience in a related field.
Knowledge, Skills, and Abilities
  • Experience managing vendor contracts and relationships.
  • Strong understanding of contract documents, legal terminology, and the contracting lifecycle.
  • Excellent communication, negotiation, conflict resolution, and persuasion abilities.
  • Good attention to detail and organizational, time management, and communication skills.
  • Demonstrated ability to work independently in a fast-paced environment with concurrent deadlines.
  • Familiarity with contract management software.
  • Proficient with Microsoft Outlook, Word, Excel, and Teams.
  • Certification in contract management or similar preferred.
Working Conditions
  • Must be able to utilize office equipment, computer, keyboard, and phone, with or without assistive devices.
  • Routinely, there may be some minor physical inconveniences or discomforts in the work setting, including sitting for moderate periods of time.
  • Repetitive wrist motion and occasional lifting/carrying of up to 25 pounds.
