Contract Data Specialist

As a key member of our Data Cleaning team, you will play a crucial role in ensuring the accuracy and consistency of contract data in our Contract Lifecycle Management (CLM) database. Your responsibilities will include reviewing datasets, identifying and correcting errors, and collaborating with internal stakeholders to resolve discrepancies.

Key Responsibilities
  • Clean and harmonize metadata within the CLM repository to ensure data accuracy and consistency.
  • Apply mapped data guidelines to ensure data quality and integrity.
  • Identify and correct inaccuracies in contract records, including effective/expiration dates, protocol numbers, principal investigator/consultant names, contract values, and more.
  • Resolve data discrepancies for various contract types, including Confidentiality Agreements (CDA), Master Services Agreements (MSA), Clinical Trial Agreements (CTA), Statements of Work (SOW), and Software Agreements.
  • Compare records to identify and escalate duplicate entries for reconciliation.
  • Escalate issues outside of mapped guidelines per established processes.
  • Identify and log records missing fully executed contracts using workflow trackers.
  • Draft clear, concise email communications to internal stakeholders to follow up on missing contracts.
  • Maintain an email log tracking outstanding contracts using Excel.
  • Create and manage workflow trackers and communication logs for missing documents.
  • Provide input on process improvement initiatives to stakeholders.
Qualifications
  • Education: Bachelor's degree (B.A./B.S.) or equivalent, with at least 2+ years of relevant industry experience.
  • Industry Experience: Pharmaceutical, biotech, life sciences, or finance.
Knowledge, Skills, and Abilities
  • Self-starter with minimal supervision required.
  • Proficient in MS Office Suite (particularly Word and Excel) and database applications.
  • Strong written and verbal communication skills in English.
  • Ability to multi-task, prioritize, and work independently to meet deadlines.
  • Comfortable working in a high-pressure, complex environment with attention to detail.
  • In-depth understanding of contracts, contract governance, and the contract lifecycle.
  • Familiarity with industry services and providers.
  • Ability to read, analyze, and interpret budgets and technical documents.
  • Discretion in handling confidential and sensitive information.
  • Effective in both independent work and collaboration in a virtual team environment.
