Job Description

As a Receptionist, you will be responsible for the below tasks.

  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Ensure knowledge of staff movements in and out of organization
  • Monitor visitor access and maintain security awareness
  • Send all invoice packets out to customers for payment based on IVM profile daily
  • Receive and sort mail
  • Tidy and maintain the reception area
  • Prepare FedEx labels for outgoing envelopes
  • Endorse and log incoming checks into spreadsheet
  • Reconcile visitor log and make sure all badges are accounted for throughout the day
  • Assign PO# to all purchases
  • Order supplies through local vendors
  • Code all Admin payables invoices and attach necessary backup
  • Update marquee when needed
  • Maintain/Update extension list with alternative contact numbers
  • Make labels for personnel files and name plates
  • Maintain travel spreadsheet
  • Maintain temp hire and termination dates
  • Maintain active and terminated photos of employees on the Fdrive
  • Place 911 calls as needed
  • Take at least 4.33 training hours per month to reach annual goal of 52 hours
Qualifications

Successful Receptionist candidates have a high attention to detail and are willing to go above and beyond to ensure that customers and clients receive the highest level of customer service.

Additional requirements of this administrative role include:

  • 1 to 2 years’ experience in a receptionist role with heavy phone/multiple line experience

  • Customer service experience / personality

  • Experience using Microsoft office including Word, Outlook, and Excel

  • Excellent written, verbal, and interpersonal communication skills

  • Stress Tolerance

  • Reliability
