Senior Office Assistant

The Town of Brookline is currently seeking a Senior Office Assistant to perform administrative duties assisting with the operations of the Public Health and Human Services Department; other related work, as required.
Essential Functions:
- Responds to inquiries and telephone calls from citizens; directs calls to appropriate staff; responds to citizen complaints and prepares intake forms.
- Prepares order letters and letters of compliance; prepares memoranda and documents as assigned by division directors.
- Processes all licenses and permits; camps, swimming pools, keeping of animals, food, etc, utilizing the permitting system.
- Processes permits, invoices and receipts for weights & measures utilizing the permitting system.
- Tracks license and permit payments, send invoices and delinquent invoice notices.
- Performs all general clerical duties including, but not limited to, word processing, making copies, filing, data entry, answering the telephone, and opening and delivering mail.
- Performs similar or related work as directed, required, or as situation dictates.
- Performs payroll and accounts payable functions in the absence of the Administrative Head Clerk.
- Performs similar or related work as required, directed or as situation dictates.
Recommended Minimum Qualifications:
High school diploma, Associate’s degree preferred, plus at least two years of related office experience; or an equivalent combination of education, training and experience.
Knowledge, Ability and Skill
Knowledge of office practices and procedures; knowledge of computer applications used to perform the operations of the department; familiarity with public health department operations and services.
Ability to communicate effectively with the public by telephone; ability to learn and understand municipal health department procedures. Ability to organize time and accomplish tasks with accuracy and attention to detail
Written and oral communication skills; computer skills, including spreadsheets, word processing and specialized software applications; office skills; organizational skills.
Starting Salary: $26.61 hourly with generous benefits.
