OPPORTUNITY

We are looking for a detail-oriented property management assistant who will provide support to our Property Management department working reporting to the Regional Property Manager(s) and EVP. Duties include administrative functions, preparing contracts, notices, vendor relations and scheduling, and tenant lease compliance. A North Carolina Real Estate license will be required


RESPONSBILITIES

The activities listed here are not all-inclusive; rather, they indicate the types of activities normally performed by this position. The successful candidate will be able to demonstrate core competencies in the following areas:

· Assist tenants with maintenance requests as directed by the PM department, coordinate vendors to address issues and follow up with tenants to confirm their satisfaction.

· Respond to vendor / tenant general inquiries.

· Assist property management team with lease admin and compliance.

· Collect HVAC maintenance records and update tracking sheet.

· Collect Hood and Grease Trap maintenance records as required per leases.

· Track and update vendor certificates of insurance.

· Assist with annual budget and CAM reconciliation processes.

· Prepare initial set up of Monthly Property Management reports.

· Assist with preparation of letters for: Lease Commencement, Rent Commencement Date, NNN increases (or decreases), and reconciliation letters.

· Assist with aspects related to tenant move ins and outs.

· Research unpaid invoice inquiries, follow up on invoices from projects not yet received, update project invoice tracking sheet and assist with year-end collection of all invoicing.

· Maintain tenant and vendor contact information in MRI.

· Assist with soliciting bids and preparing vendor service agreements.

· Assist with Tenant Accounts Receivable.

· Attend yearly POA meetings for each property.


REQUIREMENT/QUALIFICATIONS

· Minimum 4-year commercial property management, non-multi-family experience

· BA/BS or associate degree.

· Experience reading and interpreting real estate leases, including all related lease documents, is essential

· Experience with MRI and Avid Xchange software programs preferred

· Excellent computer and internet research skills, including proficiency with Microsoft Software such as Word, Excel, PowerPoint, and Teams.

· Organized with ability to multi-task while keeping track of priorities and maintaining big- picture focus

· A proven record of providing excellent internal and external customer service

· Superior communications skills, both verbal and written

· A sense of urgency, initiative and persistence.

· Eager to grow and learn new things.
