The Administrative Assistant (AA) supports the HR & Administration Director and the Administration department and participates in day-to-day management and long-term strategic efforts. The AA is essential to the effective and efficient operation of the office.

Summary of Essential Functions/Job Responsibilities:

  • Ability to perform work involving independent judgment, accuracy, and speed, maintain confidential files, and prepare materials.
  • Performs general clerical duties including answering phones for the organization, taking messages, filing, photocopying, scanning, sorting, and distributing mail, and forwarding Front Desk emails to appropriate teams.
  • Provide logistical support for large in-person meetings, including venue identification, ordering food, maintaining and coordinating the set-up of equipment for virtual meetings, and securing interpretation. This will include trainings, retreats, and significant large events.
  • Problem resolution, knowing when to escalate issues to management versus matters that can be handled independently.
  • The Administrative Assistant will interact with a diverse group of external callers, visitors, and internal contacts at all levels of the organization.
  • Performs other related duties or special projects as the Admin Team assigns.

Position Type and Expected Hours of Work This is a part-time, temporary position with an hourly rate range of $25.00-$35.00 commensurate with experience. It could eventually become a full-time position with benefits starting in January 2025.

The supervisor will determine days and hours of work upon the hire date.

Work Location: In-person at our office in National City, CA. Our offices are closed every first and third Friday of each month.

REQUIRED SKILLS & QUALIFICATIONS

  • Three years of office administration experience
  • High school diploma or equivalent
  • Proficient with MS Office (Outlook, Word, Excel)
  • Excellent communication skills, both verbal and written.

PREFERRED SKILLS & QUALIFICATIONS

  • Bi-Lingual (English & Spanish)
  • Experience working in an environmental, social, or racial justice organization.
  • Five years of office administrative experience
  • Experience providing administrative support

Work Environment Work is performed primarily in an office setting. The position also involves using a computer, keyboard, tablet, scanner, telephone, and face-to-face communications. Employees must be able to lift 20 lbs. Employees must communicate clearly and professionally in all these manners. The position may include participating in events, requiring standing for several hours as needed. The employee may spend periods sitting, standing, or walking.
