Essential Functions:
  • Performs all receptionist duties including greeting visitors, transferring calls, and monitoring door/security system.
  • Provides support to the Accounting Department by performing accounts receivable and accounts payable functions.
  • Designated back-up in absence of Staff Accountant excluding Payroll processing.
  • Maintains confidentiality of all financial data.
  • Prepares and verifies accuracy of customer invoices and export documents.
  • Ensures daily correspondence to customers, including invoices, export documents, certificates of compliance are sent and maintains records of correspondence.
  • Assists with applying daily accounts receivable receipts and collection of past due accounts.
  • Prepares credit reference verifications for all new customers.
  • Edits daily/weekly timecards.
  • Assists with auditing & entering Accounts Payable invoices received, processing weekly AP payments, and emailing weekly ACH Remittance Statements to Vendors.
  • Compiles and prepares routine reports and summaries.
  • Assists with completion of all month end/year end closing procedures of accounting system.

Education & Qualifications:

  • High School Diploma/GED required, associate degree in accounting or finance preferred.
  • 1-3 years of relevant, hands-on accounting experience required.
  • Privy to secured/sensitive information-Confidentiality required.
  • Professional personal presentation; customer service oriented.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and accuracy.
  • Demonstrate an ability to manage a variety of priorities while meeting deadlines.
  • Ability to work independently on assigned duties and in a Team environment to accomplish required goals.
  • Must be able to multi-task, able to work in a fast-paced environment, and be a team player.
  • This position is deemed a safety sensitive position always requiring alertness.
  • Able to read, write and fluently communicate in English.
