Practice Manager: Oceanside Physical Therapy

We are also a clinic that recently expanded to serve the Dover and Stratham communities and are now looking to rebuild our administrative team to serve these two clinics well. As our Practice Administrator, you'll play a pivotal role in achieving our mission by focusing on three key areas:

  1. Elevated Customer Experience:
    • Utilize testimonials, key metrics, and surveys to continually evaluate and enhance the client experience.
    • Implement streamlined systems from intake to billing that prioritize efficiency, support, and user-friendliness.
    • Ensure clear and informative communication throughout each client's plan of care, exceeding their expectations every step of the way.
  2. Employee Success:
    • Foster a culture of happiness, engagement, and mutual respect among our staff.
    • Develop comprehensive administrative policies and procedures that are transparent and easily accessible.
    • Promote teamwork across all employee touchpoints, facilitating effective communication and solution-focused attitudes.
    • Implement efficient onboarding processes, establish clear accountability measures, and set performance metrics with rewarding incentives for receptionists, patient coordinators, and billing specialists.
  3. Smooth Operations:
    • Establish and maintain a high-level operating system for both of our locations, ensuring seamless daily operations.
    • Streamline processes, optimize workflows, and identify areas for improvement to enhance overall efficiency and effectiveness.

Job Duties and Responsibilities:

  • As the owner's trusted confidant, your pivotal role in leadership, cultural development, and operational intricacies is paramount. Your contribution ensures the seamless functioning of the company, freeing the owner to dedicate her energy to delivering exceptional patient care, shaping our vision, recruiting, and building vital community connections.
  • Your leadership and influence will be the driving force behind upholding our company's core values.

  • Supervise and Coach:
    • Your direct reports will be the following departments/positions
      • Reception
      • Patient Care Coordinator
      • VAs/support
      • Billing
      • Administrative Team Lead
      • Clinical Team Lead
      • Tide Team Lead
  • Policy Development: Craft comprehensive policies and procedures for administrative roles, aiding in hiring, onboarding, and accountability.
  • Training & Onboarding: Develop a 90-day training programs for all administrative positions, collaborating with leadership. Facilitate smooth onboarding processes.
  • Leadership Collaboration: Participate in weekly leadership meetings to address goals and challenges, contributing to solutions and action plans. Ensure all departments are meeting their goals and if not, find out why and develop solutions to improve and achieve
  • Documentation & Communication: Take meeting notes, compile action items, and distribute tasks with deadlines to relevant parties. Conduct monthly check-ins with staff to review progress and goals.
  • HR Support: Work with Blue Lion, our HR company, updating HR onboarding policies annually. Write and post job advertisements, conduct interviews, and facilitate final selections. Ensure accurate payroll and any other HR processes required for employee and company support.
  • Tech Support & Innovation: Organize technical issues, find support and research/implement tech solutions and automation.
  • Resource Management: Manage supply orders, track expenses, and make recommendations for cost-saving measures. Organize monthly compliance tasks and integrate compliance systems.
  • Company Organization & Communication: Evaluate organizational needs, update charts, and communicate vision to leadership. Monitor income collections for patient invoices.
  • Patient & Staff Engagement: Develop guidelines for patient engagement, including monitoring online reviews and ensuring new patient marketing efforts. Support staff engagement activities and community service initiatives.
  • Marketing: Work with our marketing team to integrate all internal and external messaging, newsletters and in house procedures align. Identify areas of need with the leadership team, marketing consultant and owner to strategize for the overall vision.
  • Clinic Compliance: Ensure all clinicians credentialing, licensing, and professional development requirements are met. Work with an external company to understand risks and needs for clinical compliance issues.
